Job summary
To provide administrative and programmatic support to the Operations and Membership Departments.Essential duties and responsibilities include administrative support, report preparation, scheduling, meeting coordination, invoice preparation, expense report management, and calendar activities for executives and operations.Other duties include data entry for financial/business reports, insurance applications and policies, meeting coordination, document production for governance meetings, digital materials preparation, and tracking compliance deadlines.

Responsibilities
• Provide administrative support, weekly report preparation, scheduling, meetings, invoice preparation & payment, expense report management, and calendar activities for executives and operations.• Create, modify, & enter data for multiple financial/business reports and presentations.• Prepare, submit, & track multiple annual professional insurance applications and policies.• Coordinate meeting and departmental schedules to ensure internal and external deadlines are achieved.• Help produce and distribute multiple documents for governance meetings.• Assist in the preparation and coordination of digital materials, briefing papers, and meetings for programmatic requirements.• Track regulatory and state filing deadlines to ensure organizational compliance.• Field inquiries for membership information, complete requests for informational packets, create files for new members, and update member records in CRM.• Update records in CRM to ensure web and Intranet listings are current for Board of Directors and other membership Committees.• Coordinate membership activities, manage membership inboxes, and provide general member support and information.
Requirements
• Individual must have fundamental knowledge of English, familiarity with office policies/procedures, extensive office experience, administrative assistant duties, writing and organizational skills.• Computer skills require familiarity with Microsoft Office software (MS Outlook, MS Excel, and MS PowerPoint), Adobe, and basic database systems.• Education and/or experience: BA degree; or 10 years' related experience and/or training; or equivalent combination of education and experience.• Language Skills: Detail-oriented with knowledge of grammar and punctuation. Proficiency in proofreading skills and strong communications skills are required.• Physical demands: The employee must be able to sit and use motor skills.• Work environment: The work environment is usually quiet, and overtime may be required.
