Required Qualifications High School Diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience. Proficient with various technology applications including: MS Office, Google Workspace, virtual meeting platforms, internet applications, and data entry. With the demonstrated ability to work with and adapt to new technologies and processes. Demonstrated proficiency in drafting, editing, and formatting complex documents, agendas, minutes and business correspondence for accuracy, neatness, grammar and aptness of thought. Strong attention to detail; demonstrated ability to organize and present complex information. Ability to work in a dynamic fast paced environment, with multiple interruptions. Excellent communication skills (oral and written), interpersonal, organizational, analytical, and data management skills with an ability to work collaboratively with diverse audiences. Demonstrated ability to set priorities, handle multiple tasks and work independently to complete projects, or ensure tasks and projects are completed by specific deadlines. Preferred Qualifications Experience working with EFS, PeopleSoft and Canvas Experience providing direct, high-level support to academic positions Experience managing complex calendars for multiple individuals and arranging meetings The Division of Prosthodontics Executive Assistant supports faculty, adjunct faculty, residents and students with administrative processes related to course support, purchasing, graduate program, calendar scheduling, and data entry/maintenance. The Executive Assistant takes direction from the Division Administrative Supervisor, with oversight from the Division Director, and ensures Division activities are completed in a timely manner, including the management of student progression through the Prosthodontics clinical courses and Advanced Prosthodontic Program.
The hours for this position are 8:00 am - 4:30 pm. This position is eligible for hybrid work with 80% on-site presence required.
Job Responsibilities Administrative Support - 30% Builds and maintains clinic schedules, coordinates coverage, and communicates changes to faculty, staff, and residents as needed through email, google calendars, and clinic monitors Tracks and documents faculty time-off requests in accordance with division standards Ensures any unforeseen faculty absence is addressed and triggers notifications to the Division Director, Clinical Staff, Clinic Director and/or Graduate Program Director Monitors schedules in AxiUm and coordinates with main School of Dentistry schedulers as needed for changes and regular maintenance. Provide room-scheduling support including student exams, video conferences, internal seminars, and other division meetings as directed Assist with obtaining and collecting UMN and SOD-internal access, including UCards, email accounts, room keys, and AHC computer access Supporting division full time and adjunct faculty administrative needs. Update faculty roster Support promotion for adjunct faculty Monitor the continuous recruitment posting for applicants. Coordinate and schedule adjunct interviews accordingly Support faculty onboarding to the School of Dentistry and Division of Prosthodontics Financial Support – 45% Act as financial preparer by ordering lab, clinic, office supplies and equipment via purchase orders, and in exception, the purchasing card. Use the electronics finance system (EFS) to prepare timely reconciliations. Follow all University of Minnesota and School of Dentistry finance policies and procedures when purchasing goods and services for the division Maintain/update vendor lists and collaborate with accountants to coordinate/monitor sponsored and non-sponsored budgets Create faculty and resident travel & expense reimbursements and/or assist and train faculty in Chrome River Course/Program Support – 25% Provides support to all division course directors for didactic and clinical courses for all instruction methods; including online and hybrid courses. Clinical/PreClinical Course Support Analyzes student data to determine "work done" vs. minimum essential experiences (MEE's)/requirements for graduation, compiles data for review by progression committee Ensure progress data is regularly available to students and SOD administration in the current course management system. Provides program support for the Graduate Prosthodontics program, including but not limited to; supply ordering, course enrollment, and support resident interview process and onboarding. Other duties as assigned The University of Minnesota School of Dentistry is the state's only dental school and the only dental school in the northern tier of states between Wisconsin and the Pacific Northwest. We are a regional resource to five states for dental education, consulting services, patient treatment, and ongoing continuing dental education.
The School of Dentistry educates general dentists, dental specialists, dental therapists, dental hygienists, dental educators and research-scientists. For more than two decades, we've offered specialty training in six ADA-recognized disciplines: Endodontics, Oral and Maxillofacial Surgery, Orthodontics, Pediatric Dentistry, Periodontics and Prosthodontics.
We also offer an advanced education program in TMD and orofacial pain, oral biology, dental hygiene, and oral health for older adults.
Dentists who are graduates of dental schools outside of the United States and Canada wishing to practice in the United States train here, as well. A novel, interdisciplinary Dentist-Scientist Training Program rounds out our educational offerings.
Our work affects nearly every person in Minnesota. We educate 73% of the state's practicing dentists, 68% of Minnesota's licensed dental therapists, and 49% of its dental hygiene educators. Our researchers develop and test dental materials used by every dentist in the state and around the world.
Our students and faculty treat patients: 105,260 patient-visits each year in our Twin Cities' campus clinics and 48,700 in outreach sites located in underserved communities throughout the state. We provide continuing dental education for 7,100 practicing dental professionals each year.
