We are seeking an experienced Executive Administrative Assistant to support our Chief Information Security Officer and the office of the CISO. In this role, you will support the vision, strategic planning, and execution of all aspects of this group. This individual will be a thought partner to the business unit and its leader. To be successful in this role, you will need to demonstrate a strong ability to anticipate situations, lead and motivate others while being flexible and adaptive of their teams' changing needs.
In this role, you will serve as a liaison to the office of the CISO and senior management teams; organize and coordinate customer outreach and external relations efforts; and oversee special projects. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. You will have the ability to work independently on projects, from conception to completion, and you must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. You will be handling high level confidential information so will be expected to maintain strict confidentiality and exhibit discretion and professionalism in all activities, always reflecting the values and culture of the company. You will also need to be prepared for the frequently shifts in priorities and need for immediate action that come with the vital mission of protecting our organization's information security.
This position can be based to work out of any Jack Henry office or remotely from any US location.
What you'll be responsible for: Complete a broad variety of administrative tasks for the CISO including, but not limited to: managing an active calendar of meetings; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Plan, coordinate, and ensure team leadership's schedules are followed and respected. Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the product team's time. Communicate directly, and on behalf of the CISO, with senior leadership, customers, staff, and others, on matters related to the team's initiatives. Provide a bridge for smooth communication between the Office of the CISO and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff. Focus on alignment of goals with other business partners to ensure collaboration, open lines of communication, and cohesiveness across Product, Engineering, and Operations and collaborating in the completion of monthly billing, contract preparation, follow-ups for compliance, and other operational administrative responsibilities. Research, prioritize, and follow-ups on incoming issues and concerns addressed to the director of product, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response and keep the director well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the team updated. May perform other job duties as assigned. What you'll need to have: A minimum of 3 years of experience in an administrative support role. Experience with any of the following: Microsoft Office Suite (Outlook, Word, PowerPoint, Excel). Concur, RezDesk, or similar travel and expense system. Experience with verbal and written communication with C-suite executives and collaborating with multiple executive demands. Comfort functioning in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision (balanced with willingness to request clarification/assistance when difficulties arise.) Ability to travel up to 10% to attend JH meetings, trainings, and/or professional conferences. What would be nice for you to have: Associate degree. Familiarity with or a willingness to learn basic principles of information security. Experience with budgeting, expense management, accounts payable/receivable, or tracking of financial/accounting data. Polished, professional, and service-oriented demeanor at all times. Clarified and confident ethical standards that guide decision making in ambiguous circumstances. Flexibility to take on a wide range of responsibilities to support assigned management/department. Ability to establish workflow priority based on assessment of tasks and consideration of interdepartmental needs. Aptitude for working in collaborative team environments with a focus on maturity, proactive communication, relationship building skills, and resiliency. Curiosity and proactive learning mindset to support continuous growth both personally and for the business. A "Self-starter" mindset that takes initiative to continuously improve processes for ongoing effectiveness of the department and the company as a whole. Ability to manage multiple, concurrent tasks with the highest levels of professionalism, confidentiality, timely turn-around, and client service. Solutions-oriented approach to departmental/company challenges with the ability to identify/analyze scope of challenge, determine approach, compile data, and prepare reports and positive-change recommendations.
