1. PURPOSE FOR THE JOB The Events Coordinator helps plan and coordinate institutional events for Southeastern under the direction of the Director of Events and as a part of the Events Department. The Events Coordinator will work with various offices around the institution to plan and implement events, including chapel services, concerts, conferences, and other events. This position will manage the daily operation of the institutional calendaring system.
2. ESSENTIAL FUNCTION AND RESPONSIBILITIES Help plan and implement events for and around Southeastern Coordinate logistics for major annual conferences Manage the daily operation of the institutional calendaring and reservation system, assist with workflow and event approvals as needed Train staff on institutional calendaring system and troubleshoot issues that arise Assist the Director of Events with Event Department responsibilities as assigned Work alongside other departments to set and meet goals for their events Interact with speakers, donors, alumni, faculty, students, and attendees regarding event details Maintain inventory of Events-related materials and decorations Track expenses for events and coordinate with Chapel Coordinator to issue honorariums, travel reimbursements, etc. as needed Enter events into institutional calendar as needed 3. OTHER DUTIES AND RESPONSIBILITIES Other Events Department duties as assigned by Director of Events Support EVPO Office with special projects as needed 4. KNOWLEDGE AND SKILLS Required High proficiency in Microsoft Office applications (Excel, Word, etc.) Excellent interpersonal skills High attention to detail Ability to define processes by which to complete the Essential Functions and Responsibilities Ability to manage any supervised personnel and volunteers Preferred College degree (completed or in process) Experience with database software Knowledge of event marketing Ability to create budgets and track expenses Experience with project management software 5. FISCAL RESPONSIBILITIES Coordinate with Chapel Coordinator to process purchase orders and check requests related to event expenses as needed Assist with managing event budgets through updating expenses 6. EXTENT OF PUBLIC CONTACT Communicate extensively with faculty, students, donors, and alumni Communicate extensively with speakers, musicians, and other individuals regarding events Communicate with other offices within the institution regarding events Communicate with vendors related to events Communicate externally as needed for marketing purposes Communicate with volunteers Communicate with outside media personnel 7. PHYSICAL DEMANDS Normal fitness for general office duties 8. WORKING CONDITIONS AND ENVIRONMENT Ability to take classes at Southeastern with prior scheduling approval by the Director of Events 9. AVERAGE HOURS PER WEEK Minimum 32 hours per week (Full Time Temporary) Occasional overtime as required per event schedule
