The primary responsibility of the Client Services and Office Operations Coordinator – DC is to ensure and consistently provide high-quality customer service to our internal and external clients. Additional responsibilities include meeting and greeting arriving guests/visitors and escorting clients to their destination within the Firm, providing administrative, clerical, and secretarial support to Partners, Associates and the Senior Manager of Hospitality Services & Office Operations – DC, and working with the in-office operations team to provide backup Mailroom, reprographics, printing and Facilities services and support for the Washington, DC office.
Greets and announces arriving clients and escorts them to their destination within the Firm; Answers telephones using a web-based attendant console server, effectively dispatches incoming calls to individuals within the Firm and takes messages following Firm greeting standards; Provides after-hours reception support for the NY office; Reserves conference rooms and spaces, and coordinates all associated services and needs (e.g., food/beverage, audio/visual, facilities, signage, materials, security, floorplans and secretarial services); Provides administrative support to Partners, Associates and Senior Manager of Hospitality Services & Office Operations – DC as needed; Provides seamless and consistent backup support to the secretarial team, as well as Conference Services, as needed; Provides seamless and consistent backup support to the Office Services team, which includes photocopying materials, such as documents and books, page-checking copying and printing for accuracy, binding, stapling and drilling as requested, printing from emails as requested by attorneys and secretaries and coordinating off-site printing when needed; Books car and courier services as needed for lawyers and staff; and Performs other duties as assigned. High School Diploma or equivalent required; college degree highly preferred; Hospitality certification a plus but not required; Three to five years of experience working within a corporate reception or guest services environment, or as a legal secretary; Excellent oral and written communication skills (including reading, writing, clear speaking voice and good listening skills); Strong organizational, project and time management skills; Demonstrated knowledge of MS Word, Outlook, Excel and PowerPoint, with ability to learn quickly new software and hardware; Ability to solve problems and apply good judgment; Outgoing personality with a deep understanding of providing above and beyond service to ensure a memorable experience for all visitors; Takes initiative and handles follow up; Communicates professionally and effectively with attorneys, clients and Firm administrative staff; Works well under pressure, meets deadlines and coordinates several activities at once; Punctual and reliable; Ability to work independently, as well as be a team player; and Availability to work overtime as needed. This position is located in our Washington, D.C. office, and currently has a hybrid work schedule, but that is subject to change. The hours are Monday through Friday, 12:00 p.m. to 8:00 p.m. In addition to base salary and discretionary bonus(es), we offer a generous employee benefits package including, but not limited to, paid time off, medical, dental, vision care, 401(k) and substantial health club discounts.
