Location: Hybrid - Tualatin Office/Remote Reporting to: Employee Experience Team Supervisor Position Overview: XeniumHR is seeking a full-time Employee Experience Representative to support our diverse clients & their employees and collaborate with our team based in Tualatin office.
The Employee Experience Representative is responsible for providing day-to-day support to our client's employees throughout the employee lifecycle. A successful Employee Experience Representative provides timely, consistent, and clear communication to clients of various backgrounds and industries, their employees, as well as their internal team members. They must care about service, enjoy variety in their work, be detail-oriented and organized, and be flexible with competing priorities. This position works closely with a team but is also trusted to independently manage a tasks and requests. This job has a hybrid work arrangement/schedule consisting of both in-office and remote work.
Duties of the Employee Experience Representative position: Acts as the first point of contact for employee questions related to HR, benefits, payroll, and HRIS, identifies employee need by asking follow-up questions, and troubleshoots and resolves employee inquiries. Escalates concerns, when appropriate, to another team member. Provides basic web and system support to employees and patiently guides them through any steps necessary for problem resolution. Prepares offer letters and conducts pre-employment checks (references, background, driving history, credit & education checks) and post-employment checks (E-Verify). Coordinates, schedules, and conducts in-person and virtual new hire orientations and benefit orientations for designated clients. Communicates professionally and courteously with each person they may interact with while at a client site. Initiates and completes accurate and compliant FMLA/OFLA and other state paperwork in a timely manner according to regulatory guidelines and tracks employee leave usage, as needed. Manages unemployment activity for specific client accounts and participates in unemployment hearings as needed. Prepares for unemployment hearings by gathering documentation, meets with the assigned HRBP, and submits documentation prior to the hearing. Conducts exit interviews, which includes transcribing live verbatim notes and then cleaning-up the notes to ensure the formatting and sentence structure is correct throughout the document. Conducts benefit administrative work, to include: preparing and mailing COBRA notifications, administering COBRA enrollment, performing administrative open enrollment tasks, assisting with employee status changes and responding to Medical Support Orders. Maintains constant and continuous communication flow with HRBPs on client service activities. Tracks all time related to client service activities accurately and timely. Files all type of documents in client personnel files as necessary. Attends relevant seminars and workshops to keep abreast of HR best practices as well as employment law updates. Participates in client and Xenium company events as necessary. Maintains punctual, regular and predictable attendance. Works collaboratively in a team environment with a spirit of cooperation. Displays excellent communication skills including the ability to communicate effectively and remain calm and courteous under pressure. What qualifies you for this position? One to two years of Human Resources, customer service, and/or administrative experience. Degree or coursework in HR, Business, or a similar field is a plus but not required. Job requires administrative and computer skills. Must be adept at using various applications including spreadsheets, project management, graphics, word processing, basic presentation creation/editing, communicate by e-mail, and use calendar and other scheduling software.
