Salary range: $ $93,780 - $114,620.

Overview Position Overview: The Documentation Control Manager is responsible for overseeing and managing Document Control, Change Management, and auditing efforts to ensure information is accurate, available, and accessible while ensuring change is implemented effectively. This position is a working manager who both leads and contributes to completion of work and improvement of our processes and systems cross-functionally.
Responsibilities Develops and implements document control processes and procedures to ensure the accurate creation, revision, approval, and distribution of all documents.
Establishes and maintains a centralized document management system, including electronic document repositories and physical filing systems, to organize and store documents securely.
Manages document change control procedures, including tracking revisions, maintaining version control, and documenting change histories.
Partners with leadership to create and implement documentation control policies, systems, and programs.
Collaborates with cross-functional teams to facilitate the efficient exchange of documents and information throughout the organization.
Oversees creation, maintenance, and update of work instructions and SOPs for Operations departments.
Facilitates training for all departments in documentation creation, systems, and storage best practices.
Accountable for maintaining, developing, and executing documentation auditing processes.
Accountable for regular audits and reviews of document control processes to identify areas for improvement and ensure compliance with internal policies and regulatory standards.
Identifies and addresses training gaps collaboratively with cross-functional department leadership.
Works cross-functionally with multiple departments such as Production, Quality Assurance, Sanitation, Maintenance, Warehouse, and others to ensure our systems support operational processes and needs.
Leads projects that create efficiencies in documentation processes and improve our systems.
Serves as the primary point of contact for document-related inquiries, requests, and issues, resolving them in a timely and efficient manner.
Makes recommendations for continuous improvement and drives internal knowledge growth related to industry regulations, standards, and best practices related to document control.
Leads cross-functional Change Management meetings to ensure cross-functional alignment and that any risks are understood, mitigated, agreed to, and communicated prior to implementing change in Operations.
Generates reports and metrics to track document control and change management activities, key performance indicators, and compliance levels.
Complies with all company policies and procedures and operates all equipment in a safe and food-safe manner.
Complies with our client's food safety policies and procedures including adherence to FDA regulations, Safe Quality Food (SQF) Standards, and Good Manufacturing Practices (GMPs).
Responsible for reporting food safety and quality concerns to Supervisors and/or Department Manager.
Qualifications Bachelor's Degree in a relevant field (e.g., Business Administration, Information Management); OR Any combination of education and additional years of experience that provides the necessary skills, knowledge, and ability to perform assigned tasks.
7 or more years of documentation creation and control systems experience, AND 5 or more years of leadership experience
Preferred Skills
Ability to speak in two or more languages.
Experience leading document control software selection and implementation.
Familiarity with SQF, GMP, and HACCP programs.
Advanced knowledge of and experience implementing Lean & Continuous Improvement
processes.
Strong knowledge of product data management practices and processes.
Experience with Redzone (workforce engagement) and/or Dynamics 365 (ERP) software.
Possesses advanced communication skills, both verbal and written.
Capable of tailoring communication style and content to reflect the audience and provide clear, concise information.
Ability to make presentations to executive management, department managers, supervisors, and staff.
Ability to work effectively with a team using direct communication, respect, creativity, and emotional intelligence.
Ability to collect and document requirements for projects.
Excellent organizational & time management skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Demonstrated attention to detail and accuracy, with a commitment to maintaining high-quality standards.
Analytical mindset with the ability to identify issues, implement solutions, and drive process improvements.
Ability to follow exact procedures and protocols.
Ability to develop effective training programs accommodating multiple various learning styles.
Ability to work independently and in collaboration with others while leading a cross-functional team.
Skilled in using Microsoft 365, including Word, Excel, PowerPoint, Outlook, and SharePoint.
Ability to complete & lead tasks with minimal supervision & oversight.
Basic knowledge of and experience implementing Lean & Continuous Improvement processes.
Proficiency in document management software and systems.
Ability to read, understand, and communicate information effectively in English with professional proficiency.
Ability to work in an environment where exposure to potential food allergens is or may be present.
Demonstrates Respect, Teamwork, Accountability, and Determination.
Supervisory Responsibilities:
This position directly supervises a Document Control team of 2-3 employees.
The position reports to the Senior Operational Excellence Manager.
