Full job description 8hrs/day 7:30am-4:30pm 12-month Paygrade 4 $19.83/hr Effective July 1, 2024 Replacing Donna Jarvie
Position Summary

Provides secretarial support to the Administrators within the Educational Services Department, while maintaining confidentiality.

Duties and Responsibilities

Liaison for district-wide student teacher placement. Assists Educational Services with local and state assessments/data. Supports district Summer School Programs and tutoring. Distributes and compiles teacher Non-Academic Duties information for payroll processing. Updates district website as needed for Educational Services Department information. Oversees the school business calendar and PowerSchool Records requests. Assists with registrations of students/families as needed (Central Registration, GSRP, EL, etc.). Assists with teacher Professional Development planning and communication. Prepares and disseminates Educational Services Updates bi-monthly electronic newsletter. Monitors and updates student enrollment numbers regularly throughout the year for staffing and purchasing of materials. Reviews and processes school of choice applications and student transfer requests. Coordinates and prepares district-wide textbook purchases, curricular resources, and instructional materials in collaboration with Grants and Innovation & Learning. Prepares department correspondence including typing, printing, copying and distributing, etc. Operates existing office machines and technology within the Educational Services Department, Communicates effectively and professionally with customers, employees, students, and other individuals to answer questions, disseminate or explain information and address complaints while maintaining confidentiality.

Education:
This position requires high school diploma or equivalent.
Experience:
One year of related experience providing clerical support in an office setting required, two years preferred.
Knowledge:
Knowledge of basic math, required. Knowledge of accounting procedures, required. Knowledge of principles and processes for providing customer services, required. Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, designing forms, and other office procedures, required. Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar, required.
Abilities:
Ability to read and interpret district policies, guidelines, and government regulations, required. Ability and willingness to participate in training classes, required. Ability to write routine reports and correspondence, required. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form, required. Ability to multi-task, meet deadlines, be organized and work in a fast-paced work environment, required. Ability and willingness to work cooperatively with teachers, community, students and staff, in a confidential manner, required.
Skills:
Word processing 40 wpm, required Data Entry skills minimum 6000 stokes per hour, 95% accuracy required Word processing programs, required Spreadsheet programs, required AS400, required Basic math skills, required Good verbal and written communication skills, required Customer Service Skills, required Basic Power School preferred Basic Database programs, preferred
Testing
Keyboarding, Data Entry, Basic Word Processing, Basic Spreadsheet programs, Basic Math, Alpha Filing, Customer Service, Applying Policies, Proofreading, and Basic AS400 are required, Basic PowerSchool and Basic Database programs, preferred.

The employee must occasionally lift and/or move up to 30 pounds of files, computer and audio visual equipment, etc. Specific vision abilities required by this job include close vision, and ability to adjust focus, especially due to concentration on a computer screen and small numbers.

Work Environment

The noise level in the work environment is quiet to moderate.
