Function of the Position: The Business Transformation Specialist supports the effective and efficient operations of the USG Business Transformation Team. The dynamic nature of this role requires exemplary organizational and communication skills, as well as the ability to identify, anticipate, and respond to various needs. This role will serve as a main point of contact across multiple organizations, departments, and workstreams, and therefore must interact seamlessly and with a professional demeanor across a broad range of individuals including members within the Business Transformation team, USG Leadership Team, Digital Transformation Program (DTP), and other senior managers. The incumbent must handle highly sensitive and confidential financial, legal, personnel and institutional information with professionalism and discretion. This position is most appropriate for someone who likes a fast-paced work environment, teamwork, and managing diverse responsibilities.
This is a full-time, permanent position.
Roles and Responsibilities: Project Oversight Escalates issues to appropriate decision-maker as needed; keeps VP, Business Transformation informed of key issues. Develops weekly progress reports for senior leadership. Manages resources and encourages collaboration across DTP workstreams and System Integrator teams. Tracks and monitors status of key decisions and action items. Quality Assurance Reviews, supports, and edits deliverables as requested. Maintains organization of SharePoint folder structure and proper record filing. Risk Management Assists in analyzing areas of risk and advising project leadership on proposed solutions and preventative measures. Assists in troubleshooting complex, or cross-departmental issues. Ensures compliance with DAI policies and procedures. Business Administration . Develops briefing materials for key meetings as needed.
. Leads administrative management of indirect service providers, including reviewing vendor invoices, tracking service provider invoiced to date against budget ceiling, coordinating with Accounts Payable (AP), and processing and supplier/vendor invoices for review or approval.
. Manages meetings administration, scheduling, and documentation.
. Reports on schedule to senior leadership, flagging any potential delays and escalating as needed.
Supports and/or drafts memos and tracking reports for team archives. Manages meetings and presentations, including room reservations, invitation management, briefing materials, catering, presentation support, and other duties as assigned. Other: Maintain confidential and sensitive information. Other additional and/or alternative duties as assigned from time to time. Qualifications: Minimum Qualifications: Grade P5: Minimum of 4 years of relevant professional experience and a college degree. Equivalent combinations of education and experience will be considered. Strong attention to detail. Able to work as part of a decentralized team with minimal oversight. Excellent organizational skills. Excellent written and oral communication skills, with the ability to communicate clearly and professionally with internal and external clients, and tailor communication style to diverse audiences. Flexible and able to adapt to changing needs, priorities, and scopes. Able to handle confidential and/or sensitive information with discretion. Able to build and maintain excellent working relationships with staff at all levels of the organization and external clients from diverse backgrounds. Familiarity with the importance of diversity and inclusion. Works well under pressure. Authorized to work in the United States. Equivalent education and experience will be considered. Preferred Qualifications: Proficiency with SharePoint, Microsoft Dynamics, Power BI, and Power Automate is desirable. Previous experience in a role demanding confidentiality of company and staff information desirable. Proficiency with Microsoft word, excel, and PowerPoint is desirable. Supervisory Requirements: None
Compensation & Benefits: For employees working the United States, the full-time equivalent annual base salary for this position is expected to be between $82,417 to $96,962. Salary for part-time employees will be prorated based on actual hours worked. Actual offers will be based on several factors including, but not limited to, qualifications, relevant education, experience, skills, seniority, performance, and business or organizational needs.
Eligible U.S. based employees, will be able to enroll in medical, dental and vision insurance, plus a 401(k)-retirement plan with a company match. Additionally, employees will be eligible for company-paid annual leave (vacation & holidays), sick leave, parental leave; as well as short- and long-term disability coverage. Detailed information will be provided at the time a formal offer is extended.
