With a strong emphasis on documentation, your primary focus will be on creating high-quality Bidding and Proposal Documents. In this dynamic position, the Bid Coordinator plays a vital role in facilitating the smooth execution of the bidding process and coordinating the efforts of various teams involved. Your contributions will be essential in ensuring that our proposals are comprehensive, compelling, and tailored to meet the unique needs of each opportunity. With your meticulous attention to detail and excellent organizational skills, you will help us effectively showcase our capabilities and secure new projects successfully.Essential Responsibilities / AccountabilitiesEnsure the Client's vision is incorporated throughout the bidding process. Participate in Bidder Qualification process.Contribute to the assessment of Project Risks.Collaborate on drafting Project Proposals and Quotes.Contribute to the development of creative and technical solutions.Assist in cost estimation and determination of contingencies.Participate in establishing pricing and payment schedules.Understand the Project's commercial terms and contractual/legal relationships with the Client.Ensure correct execution of the Client's duties and protect TAIT's interests.Facilitate a smooth transition from the Bidding Team to the Project Team.Foster and maintain positive relationships with Project Performance and Operations groups.Facilitate proactive, open, and transparent communication.Attend or organize regular check-in meetings.Identify key stakeholders for strategic discussion.Utilize relationships to resolve challenges, conflicts, or disputes within projects or between competing projects.Attend global and regional organizational meetings and gatherings.Identify opportunities for minor and major improvements in the Project Process.Contribute to departmental and organizational initiatives.Participate in "Design Reviews" and "Lessons Learned" discussions.Adhere to all company safety policies and procedures.Attend meetings, seminars, and training sessions as required.Perform assigned duties according to the policies and expectations prescribed by the company.To perform this position successfully, each essential responsibility/accountability must be fulfilled satisfactorily.  Reasonable accommodations may be made to enable an individual with disabilities to perform the responsibilities and accountabilities outlined above.Other duties may be assigned to meet business needs.Management ResponsibilityThis position has no management responsibilities.Behavioral CompetenciesBid Documentation: Proficiency in preparing, organizing, and maintaining bid documents, including proposals, contracts, and bid responses.Attention to Detail: Meticulous review of bid documents to ensure accuracy and compliance with submission requirements.Communication Skills: Effective written and verbal communication to coordinate bid efforts, liaise with team members, and engage with clients or procurement teams.Research: Conducting research to gather information on potential bids, competitors, and market trends.Deadline Management: Efficiently managing bid timelines, deadlines, and submission schedules.Team Collaboration: Collaborating with cross-functional teams, including sales, subject matter experts, and legal, to create comprehensive bids.Quality Assurance: Conducting quality checks on bid documents to ensure they meet the highest standards of professionalism and accuracy.Bid Strategy: Assisting in the development of bid strategies and value propositions to enhance the competitiveness of bids.Client Interaction: Building and maintaining positive relationships with clients and prospective clients during the bid process.Bid Tracking: Maintaining a record of bids, outcomes, and lessons learned for future reference and improvement.Minimum QualificationsA Bachelor's degree in a relevant field such Project Management, Engineering, Construction Management, Technical Theatre, Live Event or a related discipline is preferred. However, equivalent professional experience may be considered.Prior experience (3 + years) in bid coordination, proposal development, Entertainment Industry, Project Management or a similar role.Experience working in a fast-paced, deadline-driven environment where attention to detail is critical is beneficial.Familiarity with the construction industry or a related field is advantageous.Working Conditions and Physical EffortThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle, or feel objects, tools, or controls. The employee frequently is required to reach with hands and arms and talk or hear. Specific vision abilities required by this job include close vision, and peripheral vision. The employee regularly operates a computer, including typing, using a mouse or keyboard, and viewing the screen for extended periods. While the role does not require regular lifting or physical exertion, there may be occasional onboarding programs or trainings that create opportunities for more exposure to physical tasks or new environments (sites, venues, etc.).Work conditions of the role are:Work conditions may involve moderate exposure to unusual elements such as dirt, dust, fumes, unpleasant odors, and/or loud noises.Work environment involves some exposure to hazards or physical risks which require following basic safety precautions.Must be able to wear and properly utilize appropriate personal protective equipment (PPE) to work within or visit areas where required.
