Full job description The Office of Supervisor Nora Vargas, Chair of the San Diego County Board of Supervisors, is seeking a highly motivated and qualified applicant to serve as the Chair's Assistant, who will maintain a professional, productive and positive demeanor while managing multiple and competing tasks and projects, and who has demonstrated the professionalism and discretion necessary for a job that requires a high level of trust and confidentiality. This job assignment will conclude on December 31, 2024. However, the selected candidate may have the opportunity to compete for future job opportunities within the Board Office and/or County of San Diego.

THE POSITION:
The Chair's Assistant position acts as a liaison between the Chairwoman's Office and the Office of the Clerk of the Board of Supervisors; creates and keeps records of all ceremonial events having to do with the Board of Supervisors; coordinates the supporting materials for the Chairwoman to successfully lead the Board of Supervisors meetings; and provides administrative support to the Office of Chairwoman Vargas. As the Chair's Assistant, you will collaborate with the entire District 1 team and will report to Director of Operations and Scheduling and the Chief of Intergovernmental Affairs.



DUTIES AND RESPONSIBILITIES:
The Chair's Assistant works closely with the entire District 1 team to execute a fast-paced and dynamic legislative plan that is driven by community input and helps manage day to day administrative tasks.



ESSENTIAL JOB FUNCTIONS: Work with the Chief of Intergovernmental Affairs to coordinate and prepare materials to support the Chairwoman in chairing the Board of Supervisors meetings, including the meeting script, talking points, fact sheets, and policy briefs; Work with the Clerk of the Board of Supervisors to formulate the order of business for each Board of Supervisors meeting, including scheduling the pledge of allegiance and invocation, coordinating the awards and proclamation presentations, and providing logistical information to presentation attendees; Manage and disseminate proclamation language from all five district offices to receive approval of language from each district office; Review, print, and coordinate the delivery of completed proclamations to all five district offices; Create, disseminate, and keep records of all approved proclamations, orders of business, and board certificates; Acts as a liaison between county staff and the District 1 staff to arrange for the Supervisor's attendance at board meetings or to coordinate ceremonial items before the board; Provide administrative assistance to the Chairwoman, the Director of Scheduling and Operations, and the Chief of Staff to purchase office supplies and organize letters sent by the Chairwoman, among various other administrative responsibilities; Work flexible schedule including long hours, nights and weekends, and performs other duties as assigned; Works well under pressure and handles stress. SKILLS AND KNOWLEDGE REQUIRED: Strong communications skills, including writing, editing, and proofreading; Understanding of County duties and the responsibilities of the Board of Supervisors; Strong organizational skills, works well under pressure, manages multiple projects, and accepts performance-based feedback and direction; Experience using Microsoft Word, Excel and Outlook; Strong oral and written communication skills; Ability to exercise discretion and independent judgment; Thoroughness and careful attention to detail; Ability to work cooperatively and courteously with others; Temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner; Thorough knowledge of office administration, policies, practices, and procedures; Availability for occasional work on evenings or weekends; Perform other duties as assigned. QUALIFICATIONS Prior experience staffing a high profile elected official or executive preferred; Ability to work independently in a fast-paced environment, while managing several projects simultaneously and adjusting to frequently shifting immediate demands; Self-starter with excellent project management, time management, and organizational skills; Commitment to equity, reproductive, racial, social, and economic justice, and their intersections and possess good political acumen; TO APPLY:
Salary range for this position is $60,000-$65,000, compensation will be based on experience.
