Position Summary The Residence Life Director for Business Operations and Facilities is an integral member of the Campus Life leadership team. This position is responsible for overseeing the residence hall business operations such as contract administration, occupancy management, customer service, and communication. Additionally, this position is responsible for the oversight of residence hall facilities management and services, including custodial services, accommodations, technology, facility maintenance, equipment and furniture inventory, large and small projects, and capital planning.


Responsibilities 30% Leadership and Supervision Serves as a member of the Campus Life leadership team, contributing to the assessment, planning, decision making, and implementation of Residence Life goals and initiatives. Directs strategic planning initiatives and establishes objectives for Residence Life business operations and facilities to ensure appropriate use of financial, administrative and staffing resources, and alignment with the Residence Life strategic plan and complements the mission of the university. Develops and audits Residence Life unit budgets which include Renovations and Local Projects, Work Orders, and Custodial Services; and collaborates with the Executive Director for Campus Life to effectively manage $4.5 million for large facility and technology projects. Serves as the primary liaison for business operations and facilities by collaborating with internal and external stakeholder groups, providing organizational information, and representing the interests of Residence Life in the absence of the Executive Director for Campus Life. Cultivates and maintains effective working relationships with Facilities Management, University Police, Risk Management, Emergency Management, Counseling Services, Disability Resource Center, Dean of Students Office, and other campus departments. Advises department, divisional, and/or campus leadership on Residence Life activities. Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, discipling, and/or approving hours worked of the Housing Coordinator, IT Business Analyst, Administrative Assistant III, and Custodial Services Supervisor. Supervises indirectly a Custodial Services Assistant Supervisor, 13 fulltime Custodians, and 5-10 student employees. Provides indirect support for Residence Life Assistant Directors and Area Coordinators regarding residence hall operations and facilities. Meets regularly one-on-one with individual staff members. Collaborates on various departmental publications and provides feedback for updating the departmental website. Contributes to and supports the professional development and training of all Residence Life staff. Supports the university's educational mission and value for diversity by creating an inclusive environment for all Residence Life students, staff, guests, and partners. Builds collaborative relationships by interacting with parents/supporters, students, and university personnel as well as participating in university functions and committees, as requested. Participates and contributes to department meetings, including Campus Life leadership team, Residence Life central staff, Area Coordinators, and department-wide meetings. Perform other duties as assigned by the Executive Director for Campus Life or other university administrators. 30% Residence Hall Contract and Occupancy Management Provides leadership for the administration of the residence hall contracts, including room assignments, contract termination requests, summer guests, break housing, and early arrivals. Coordinates the departmental review, revision, and publication of the residence hall contracts for the academic year, J-term, and summer on an annual basis. Develops and trains staff on business practices that uphold policies and procedures but are also fair and service oriented. Oversees the management and implementation of the housing data management system (StarRez) for student applications, assignments, and billing. Develops operating policies and procedures to enforce the on-campus residency requirement, review requests for exemptions, and ensure compliance with the Universities of Wisconsin Board of Regents' residency policy. Collaborates with the Disability Resource Center and serves as a key stakeholder on the Residence Life Accommodations Committee to review and provide accommodations that ensure compliance with the Americans with Disabilities Act (ADA) and the Fair Housing Act. Serves as the liaison with other university departments regarding residence hall special requests and needs, including Athletics, International Education, and academic departments. Coordinates the compilation, preparation, and distribution of residence hall contract data to various departments and administrators (i.e., weekly occupancy reports, application reports, etc.). Trains residence hall staff in occupancy-related procedures such as check-ins, room changes, check-outs, and room sign-up. Facilitates and oversees major contract related processes such as intent to return and room sign-up. Collaborates with the Residence Life Director for Community and Student Development on implementation of residence hall opening and closing procedures. Employs historic and current data to forecast occupancy and make decisions that maximize space utilization and meet students' needs and preferences. Collaborates with the Admissions Office to promote Residence Life and share data regarding applications. 30% Residence Life Custodial Services and Facilities Provides leadership for Residence Life custodial services to ensure clean, safe, and attractive spaces for living, learning, and working. Provides oversite for the hiring, training, supervision, and evaluation of custodial staff. Works in collaboration with Facilities Management and the Division of Technology Services (DoTS) to sustain and enhance facilities and services that are cost effective and meet the needs of students. Facilitates the planning and coordination for residence hall maintenance, small projects, and large renovations. Convenes and facilitates regular and ad hoc meetings with key stakeholders in capital planning, facility projects, and ongoing maintenance of the residence halls. Maintains and manages the Residence Life capital plan and inventory of residence hall furnishings and equipment. Coordinates and oversees key inventory and card access for Residence Life facilities. Responds to after-hours emergency calls from custodial staff and others. 10% Other Business Operations and Communication Coordinates the rental of guest apartments. Develops purchase orders and RFPs, as necessary, for contracted services such as laundry, micro-fridges, and other large purchases or projects. Researches, obtains quotes, and completes requisitions for major purchases and contracted services. Reviews facilities chargebacks, work orders, and projects. Serves as the contract liaison for services such as laundry, etc. Oversees the daily operations of the Residence Life central office, coordination of regular administrative team meetings, and implementation of customer service policies and practices. Collaborates with the Student Leadership and Outreach Manager on regular communication with students and parents, including standard and batch emails, ResLife@ emails, and letters. Knowledge Skills and Abilities Required Qualifications Master's degree in Higher Education, Student Affairs, Business, Management, or related field Minimum of 8 years post bachelor's experience in Student Affairs Experience in the management of residence hall facilities, maintenance, and planning Experience in Residence Life business operations including occupancy management, policy development and implementation, and student recruitment and retention Experience in hiring, training, supervising and evaluating professional staff Demonstrated ability to provide leadership, direction, and management for initiatives and projects Excellent decision-making, organizational, task-management, and interpersonal skills Excellent written and verbal communication skills Demonstrated ability to work effectively with various constituencies, including parents, students, colleagues, and administrators Preferred Qualifications Experience working with StarRez or similar housing management software system Posting Detail Information

The salary range for this position is $75,000-$80,000. The final offer will come from the hiring manager and will be based on experience and qualifications.
