Description: Job Summary Under the direction of the Director, coordinates a high-profile office of 5 staff (including 1 tenured faculty and 4 staff) as well as up to 3 student assistants), over 1,000 students, and in cooperation with numerous campus partners including faculty across all colleges and staff across divisions.
The ASC I leads the coordination of the Honors Center needs, manages honors course scheduling in collaboration with academic departments and colleges across campus, maintains budget and fiscal records anticipating needs, provides timely, professional, and patient communication with students, as well as supports key UHP endeavors such as conferences, honors symposium, and graduation ceremony. The ASC I supports staff and student well-being, the mission and pillars of the UHP while supporting our social justice focus that includes creating an equitable and inclusive honors space that welcomes a diverse community. They fully participate as an active member of the Honors Leadership Team working with a program Director, two Associate Directors, two academic advisors, and student assistants. They contribute to group discussion, support campus partnerships, alert the team of any issues, and help maintain a welcoming learning environment.
Key Responsibilities Office Coordination, including departmental record-keeping, records processing, reports, and written material preparation. Anticipates office needs and suggests appropriate office procedures that will be compatible with existing policies and procedures. Supervises and trains student assistants under the general direction of the Director. Supervises the receipt and distribution of incoming and outgoing mail as well as social media needs. Assembles background materials and information necessary for the handling of specific correspondence. Refers correspondence to the appropriate person for handling. Replies to routine mail and email from prospective and current majors and various departments within the University. Supervises and performs secretarial and clerical tasks for the director when needed, including those related to correspondence, reports, grant applications, and evaluations, event planning, meeting minutes and scheduling. Maintains records of Honors course outlines and syllabi and coordinates with the university library. Maintains inventories of office supplies and equipment and anticipates office supply needs. Scheduling by coordinating all aspects of the scheduling process, including online data entry of courses, room selection, room changes, canceled classes, added classes, permit process, and special needs of programs, faculty, and students. Serves as a liaison between the director, Honors faculty, chairs, schedulers, and administrators to facilitate course assignments. Budget and fiscal records by performing data entry of budget allocations and expenditures and maintains account balances with CMS in cooperation with Academic Affairs. Provides director with budget projections when required. Knowledge Skills and Abilities Ability to carry out professionally complex assignments and independently plan and develop sound approaches and solutions to meet program needs. Knowledge of budget and fiscal resources, allocations, and accountability. Provide professional representation for the department to all constituencies. Develop and deliver essential information through written and oral interactions. Establish and maintain collaborative working relationships with program, academic departments, and a variety of offices and individuals on and off campus. Create and implement appropriate program/events that foster student, faculty, campus, and local community relations. Working knowledge of Windows, Word, e-mail, spreadsheet, databases (Ad-Astra and CMS), and webpages.
Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."
Education and Experience Equivalent to 4 years of administrative support experience required. Bachelor's degree preferred. CSULB work experience preferred. Academic/Program department experience preferred. Honors or Scholarship experience preferred.
Physical Summary Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).
Department University Honors Program
The CSULB University Honors Program (UHP) provides support and guidance to intellectually curious, diverse undergraduate students who seek to expand their learning beyond a specific major, minor and college. Student may enter the program as first-time freshmen, transfer students or current CSULB students. We offer two plans (Plan I requires students to complete 21 units and Plan II requires 15) with differing requirements as well as three tracks (General, Business, Engineering) and a global emphasis option.
Classification Administrative Support Coordinator I
Compensation Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.
CSU Classification Salary Range: $3,505- $5,508 per month.
Benefits Excellent benefits through CalPERS (health, vision, dental), tuition fee waiver, generous vacation and sick leave, and 14 paid holidays each year.
Time Base 1.0 time-base, 40 hours per week.
Duration of Appointment This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
