This Administrative Program Assistant position is a shared position serving both the Office of Spiritual Engagement (OSE) and the College's Center for Community Engagement and Service Learning ( CCESL ). This role serves as the first point of contact for the offices and as administrative support; acts as liaison with facilities/housekeeping, information technology, conferences and events, faculty, students, and community partners. RESPONSIBILITIES: Maintain calendar for the Dean of Spiritual Engagement and assist with communications, Manage notices/RSVPs for OSE Geneva 2030 and CCESL programs through social media and HWS Engage, Maintain online reservation calendar for the Chapel, and communication for scheduling chapel repairs, Provide support for campus wide services such as Baccalaureate during Commencement Weekend and Memorials during Reunion Weekend, Procure office supplies and items for weekly Pasta Night, other student events and Food Pantry, Prepare bulletins for worship services, including funerals and weddings, Assure that the Chapel and Sacristy are in order prior to Chapel events, Maintain current CCESL website, CCESL Civic Leader contact information, and local/regional community partner contact information, Support the work and mission of Geneva 2030 and assist with coordination of related publicity for CCESL and Geneva 2030 events , Coordinate the publicity and marketing for service opportunities via the promotion of the Compass Times monthly service e-newsletter and HWS Engage , Supervise CCESL Geneva 2030 student office staff and interns, including coordination of work schedules, office training and monitor progress of assigned tasks/projects, Assist with payroll and hiring associated with America Reads Federal work-study program in partnership with Financial Aid and Human Resources, Facilitate HWS Tutor Corps through recruitment, training and coordinated paid tutor and volunteer placement with the Geneva Boys and Girls Club, Maintain and manage the annual community service hours tracking with campus departments, When available lead a March alternative spring break trip, When appropriate, serve on a local board, non-profit, or community organization as a representative of the office and campus community, Manage all financial operations including tracking budgets, procuring supplies for the office and events, processing reimbursement requests and consultant contracts, and reconciling credit card activity, Make hospitality arrangements for programs and guest speakers, Other duties as assigned. OTHER INFORMATION:
This is a 12-month full-time, benefits-eligible, hourly position shared by two departments. Normal campus office hours are 8:30 a.m. to 5:00 p.m. Events and programming require flexibility of hours, evening and weekend hours may be required at times. The salary range for this position is $21 - $23 per hour. Qualifications
Candidate must have an Associates or Bachelors degree and significant administrative, public service and leadership experience. The ideal candidate will have superb oral and written communication skills and be a highly organized and detail-oriented individual who represents the highest values of the Colleges and these offices, especially inclusion, professionalism, tact, and gracious hospitality. Candidates should enjoy working as a member of an interfaith team. Individuals who have a strong record of demonstrating initiative, planning and organization skills, and commitment to community will be given priority in the selection process. Proficiency with word processing, spreadsheet, and presentation software, preferably Microsoft Word, Excel, and PowerPoint. Experience with database software, or a demonstrated desire to learn the same, is strongly desired. The Administrative Program Assistant must be able to work with and maintain extremely confidential and sensitive information.
