Job summary
The Administrative Officer Senior plays a pivotal role in providing comprehensive administrative and support services to a high-ranking executive.This demanding full-time, in-office position requires a high level of confidentiality and professionalism.The successful candidate should have a commitment to producing high-quality work consistently and be able to take initiative and work independently.

Responsibilities
• Handle confidential information and prepare reports to assist in managing the division.• Assist with procurement processes, reconcile credit cards, and manage employee recognition programs.• Provide comprehensive administrative support to assigned division director.• Maintain appointment schedules and calendars for division directors.• Prioritize appointments and handle logistics for meetings and special events.• Reserve rooms and event space, ensure proper set-up, and oversee employee engagement experiences.• Manage administrative duties and details associated with events.• Assist with financial processes, RFPs, and purchase orders.• Prepare pre- and post-travel documentation and expense reimbursements.• Provide courteous and helpful service to internal and external customers, maintain filing system.
Requirements
• Ability to work effectively and efficiently in a fast-paced, dynamic environment.• Familiarity with office procedures, record-keeping, and basic bookkeeping principles.• Proficiency in English usage, spelling, grammar, punctuation, and computer equipment.• Understanding of departmental policies and procedures, and organization and operations of the city.• Ability to conduct basic research and analysis, perform office support work, and follow directions.• Effective communication skills and ability to establish and maintain working relationships.• Commitment to following safety rules and regulations, and effective interpersonal skills.
