Essential Duties and Responsibilities: Include the following, as well as other duties that may be assign
Reviews and charges outstanding credit payments Runs credit references queries on new customer accounts Answers and directs phone calls to appropriate staff, assists walk-ins Provides purchase order confirmations, shipping information to sales team and customers Enters certifications into ERP software Collects tax exempt certificates and inputs into system Enters and processes RMAs and credits Enters times into timekeeping software and track vacation and sick time Works with accounting to ensure orders are processed through credit timely Calculates local delivery costs and apply to orders Makes bank deposits, collects customer checks and sends to Corporate, manages petty cash Mails and emails invoices Files and orders office supplies Calls for maintenance on building or front office issues Responds to customer-specific administrative requests Prints key inventory reports weekly for Customer Service and Production Manager Maintains part numbering system; creating new parts and updating the part number key Prepares, monitors and distributes monthly sales reports Prepares and monitors margin report quarterly Maintains, prepares and distributes Quote Log to Sales Coordinators bi-monthly Train on company ERP system Maintains integrity and accuracy of company ERP database Fulfills sample requests including logging and follow ups Maintains sample stock: ensures material is produced, cut, inspected, labeled, bagged Assigns timecards for staffing agency employees Emails time-off forms to Accounting Manager Maintains physical time-off calendar Sends Daily Flash reports in Accounting Manager's absence Minimum Qualifications: To perform the job successfully, the individual must have the following minimum qualifications:
Knowledge, Skills, and Abilities: Proficiency in Microsoft Office Suite (Word, Outlook, Excel) Strong Excel background Education and Experience: (Required and preferred educational and experiential qualifications)
3 years admin experience Competencies : To perform the job successfully, the individual should demonstrate the following competencies (behaviors and qualities that enable one do something successfully and efficiently).
