Job Description: Administrative Assistant at The Montessori Elementary and Middle School
Position Overview:
The Montessori Elementary and Middle School is seeking a highly organized and proactive Administrative Assistant to support the Executive Director, Principal, Assistant Principal, Business Director, and office staff. As an integral member of our team, the Administrative Assistant will play a vital role in ensuring the smooth functioning of day-to-day administrative operations. The ideal candidate should possess excellent communication skills, exceptional attention to detail, and the ability to multitask effectively. This position offers an annual starting salary of $40,000.
Responsibilities:
1. Administrative Support: Assist to the Executive Director, Principal, Assistant Principal, Business Director, and office staff in various administrative tasks, including managing schedules, arranging appointments, and maintaining calendars.
2. Communication: Facilitate efficient communication within the school community by managing phone calls, emails, and correspondence, promptly responding to inquiries, and directing messages to the appropriate individuals.
3. Data Management: Organize and maintain electronic and physical records, databases, and documents to ensure accurate record-keeping and easy retrieval of information as needed.
4. Meeting Coordination: Schedule and coordinate meetings, conferences, and events, including preparing agendas, taking minutes, and distributing relevant materials.
5. Office Operations: Manage general office operations, such as ordering supplies, handling incoming and outgoing mail, and maintaining a clean and organized office environment.
6. Financial Assistance: Provide support to the Business Director in basic financial tasks, such as processing invoices, preparing receipts, and assisting with budget tracking.
7. Reception: Welcome visitors, parents, and students, and provide them with any necessary information or assistance.
8. Student Records: Assist in maintaining student records, ensuring accuracy, confidentiality, and compliance with applicable regulations.
9. Admissions Support: Collaborate with the Admissions team to assist with inquiries, applications, and enrollment procedures.
10. Special Projects: Assist in various school-wide projects, events, and initiatives as needed.
Qualifications:
High school diploma required; associate's or bachelor's degree preferred. Proven experience in administrative support roles is an advantage, especially within an educational setting. Strong organizational skills with the ability to prioritize tasks and meet deadlines. Excellent written and verbal communication skills. Proficiency in using office software, such as Microsoft Office Suite and Google Workspace. Knowledge of basic financial tasks and data management. Ability to maintain confidentiality and handle sensitive information with professionalism. A positive and friendly demeanor, with a commitment to exceptional customer service.
