JOB SUMMARY: The Administrative Assistant to the VP of Operations provides general administrative and procurement support as well as tracking capital expenditures and stockroom requisitions.
JOB FUNCTIONS: General Administrative Support
Demonstrates strong customer service and organizational skillsPerforms secretarial and clerical tasks such as copy and print requests, mailing, scheduling, filing, and stock office suppliesPrepares and receives correspondence and communicationSchedules appointments.Monitors supervisor's email accountManages department email account: Maintains filing and other recordsSubmits expense reimbursements through Concur and business expense reportsPrepares Excel spreadsheets, PowerPoint presentations, and Word documentsAssists in accreditation processPrepares Check RequestsProcurement
Provides training and answers frontline questions for staff regarding the procurement process, Purchase Requisitions and Purchase Order, and policiesAssists in the preparation of Purchase Requisitions and Purchase OrdersDistributes appropriately executed contracts to internal and external stakeholdersMaintains and report a schedule of contract end and/or renewal datesAssists in the procurement or assignment of office furnishingsCapital Expenditures
Receives and distributes Capital RequestsRecords and reconciles capital expenditures transactions as neededMaintains accurate records of all Capital RequestsStockroom Requisitions and Inventory
Receives and distributes stockroom requisition requestsProduces regular inventory reportsAssists with annual audit of inventory holdingsPerforms other duties as may be assigned by supervisor.
EDUCATION: The person in this position must have a high school diploma or GED.
EXPERIENCE: The person in this position must have good writing, communication, and organizational skills. Must be skillful in Excel, Word, and PowerPoint. Prior secretarial experience is preferred.
