The Economic Supports area of Human Services and Public Health (HSPH) is seeking to fill several Administrative Assistant Intermediate positions to be part of the Onsite Resident Service team. These staff will be ensuring the consistent, accurate, and efficient delivery of onsite services by the Economic Supports division. These positions will perform limited direct resident services, training, mentoring, and supporting human services representatives (HSR) on-site. These positions will also work with staff at all levels within the service area as well as working with partners in the department. The individuals hired will be expected to continue to promote a culture of continuous improvement.  

Location and hours:
These positions are on-site and will be located at one of our Hennepin County Human Service Center locations . Work hours are Monday through Friday, 8 a.m. – 4:30 p.m.

About the position types:
These are full-time, benefit earning positions. You must be a  current regular or probationary employee of the Human Services and Public Health department to apply for these positions. Limited duration employees are not eligible.  
These positions are internally classified as an Administrative Assistant, Intermediate.

In these positions you will: Assist with administrative and operational tasks, such as mentoring, training, and overseeing daily operations through a variety of communication methods such as in-person, phone, and chat. Act as informal subject matter expert. Provide feedback for improving processes and experiences. Determine resident eligibility for multiple federal, state, and local public assistance programs, recalculate ongoing benefit amounts required by changes in client status by reviewing and verifying resident information, prepare budgets and related documents, and calculate benefit amounts in accordance with benefit standards.  Communicate complex program requirements, expectations, and timeframes to a diverse range of residents in-person, over the phone, and in writing daily, communicate eligibility determinations and explain program guidelines to residents, and refer residents to additional community resources. Explain the healthcare program enrollment process to residents.  Use a variety of county and state computer systems to access client and case data, enter data, process, approve, and issue benefits, access manuals, guides, and other policy/program-related resources.  Serve as a central point of communication for partner agencies such as child-care assistance and employment services, communicate program information to external providers (e.g., landlords, clinics, hospitals).  Assist other county staff to assure excellent customer service. Need to have: One of the following: Bachelor's degree or higher in public administration, business administration, or other field appropriate to the position and two years or more of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position.  Six or more years of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position. Nice to have: Experience: Working in and understanding the new on-site service delivery model. Interpreting HR policies and maintaining processes to support consistent policy implementation within the Economic Supports area. Working in and understanding the operations of the Economic Supports area and customer service channels. Using Microsoft Office Suite ( Excel, PowerPoint,  SharePoint, and Teams) as well as other systems such as Q Flow. Providing direction or leadership to peers or subordinate co-workers in a human services setting. (This experience may be formal supervisory experience or experience mentoring, training, or coaching, or in an informal role as a subject matter expert.) Ability to: Problem solving complex situations with internal or external partners within the organization. Maintain a balance between the needs of the employees and the needs of the business. Complete multiple and varied tasks within tight timelines. Communicate effectively both verbally and in writing, including but not limited to, upper-level leadership. Provide work direction to staff, investigate, and resolve various customer concerns and issues regarding services and policies. Support the ongoing training, evaluation, and development of staff. Establish and maintain effective working relationships within and outside the organization. About the department:
