Job Overview
As an Administrative Assistant, you will provide crucial support to our Construction Division, ensuring efficient operation through administrative and accounting support. Key Responsibilities
Manage communications including email responses, scheduling appointments, and coordinating meetings.
Take accurate notes during meetings to capture critical discussion points and follow-up actions.
Handle accounting tasks such as invoice processing, expense tracking, and budget monitoring.
Work closely with the accounting department to manage vendor and subcontractor financial transactions.
Support payroll processing and maintain precise records.
Prepare billing documents and assist in maintaining rigorous billing schedules.
Generate reports and presentations to support project and management team requirements.
Actively participate in project team meetings and contribute to project planning and administration.
Support procurement processes by preparing and managing purchase orders and contractor work orders.
Enhance administrative and accounting workflows to increase departmental efficiency.
Maintain the utmost confidentiality in dealing with sensitive and financial information.
Qualifications
Experience as an Administrative Assistant, preferably within the construction or a related industry.
Proficient with Microsoft Office Suite, with strong capabilities in Excel and Word.
