Position Summary
MAG Aerospace is hiring an Integration Lead Administrative Assistant for the AFLCMC Program Executive Offices for ISR & SOF, Global Hawk Division (AFLCMC/WIG). As a self-starter, you will function as an administrative support team lead, coordinating full coverage in the event of absences, and handling all program office administrative support duties.

Essential Duties and Responsibilities Duties include, but not limited to: Manage Integration Branch Lead calendar, meeting makers, scheduling meeting requests from internal and external personnel, and business travel Running program wide Staff and Integration Branch meetings and present slides during the meeting. Maintain Integration Branch Lead appointment schedule by planning and scheduling meetings, de-conflicting calendar/meeting discrepancies, printing and posting daily calendars outside the Integration Branch Lead office, and scheduling teleconferences Responsible for answering Integration Branch Lead office phone line from incoming calls and inquiries Tracking Integrated Product Team (IPT) manning and preparing organizational charts; data entry functions; assist with the processing of civilian time cards; integrating information into required reports; generation and maintenance of training requirements, files, forms and established file plans; processing mail (receive, sign for, and distribute mail, both classified and unclassified, and access, store, and handle classified material as required), preparing correspondence (both classified and unclassified) Integration Branch database upkeep to inlcued: update seating charts, recall rosters, distro lists, meeting invites, name plates, TDY Tracker, and Staff Meeting charts Coordinate with functional managers, outside agencies, contractor personnel, and the program office customers for events Fill in as required for the Front Office Group (FOG) executive assistant periodically temporarily, due to leave, sickness, periods out of office etc. of the FOG EA. Assist in maintaining division and/or program level calendars, AFLCMC/WIG-level emergency information continuity plans and database, emergency procedures books, and telephone rosters. Perform administrative and clerical functions associated with operating the AFLCMC/WIG in-processing and out-processing activities and follow up with Supervisors Record/track program action items and suspenses for events such as meetings, reviews, working groups, and audits File and retrieve formal program documentation and shall be familiar with or attend government provided training on Electronic Records Management (ERM), Air Force Records Information Management System
(AFRIMS), Functional Area Records Management (FARM) duties, and Records Custodian (RC) duties Be familiar with, or attend initial government-provided training on and become proficient in using the Automated Time Attendance and Production System (ATAAPS). Assist as the Defense Travel System (DTS) Point of Contact (POC). Manage and schedule Integration Branch Lead travel including ticketing, creating itinerary packets with detailed information on flights, hotel, rental cars, maps, and other travel-related details Process vouchers post-travel for expedited reimbursement Responsible for configuration control of electronic document routing for all correspondence requiring leadership's review, approval, and signature Responsible for formatting, serializing, and pdf/archiving all other military awards before sending externally for processing, as well as ensuring medals are available for presentation Manage the process for Certificate of Excellence Awards prior to All Hands meetings by requesting inputs, compiling inputs for leadership review, printing final awards for leadership to present, and tracking all awards on the Awards Tracker Requirements Minimum Requirements 5 years of administrative experience in a DoD environment Strong organizational, verbal, and written communication skills Flexibility to prioritize and process information and requests from external and internal personnel Attention to detail and deadlines Strong critical thinking skills Detailed experience with Microsoft Office Suite Must be an excellent communicator Possess acquisition and data analysis skills and have acquisition/analysis related experience. Education High School Diploma or GED is required Desired Requirements Aimpoints Processing experience Directors Action Group (DAG) experience Branch Leads experience Clearance Must be able to obtain and maintain DoD Secret Clearance
