The University of Michigan is seeking to hire an Administrative Assistant who will work in collaboration with the Varsity Ice Hockey, Men's Golf, and Women's Golf programs while contributing to the Michigan Athletic Department and its student-athletes success.  While this position supports coaches and staff from three varsity sports, for purposes of salary reviews and performance evaluation, the position will report to Sport Administration.
Essential Functions Maintain/organize calendars for Head Coaches and schedule meetings as needed. Reconcile and process expense reports through Concur. Operate within the rules, regulations, and policies of the NCAA, the Big Ten, and the University of Michigan. Maintain/update Alumni relations contact lists/information and assist with Alumni event planning. Assist Director of Operations or coaching staff with recruit travel arrangements and itineraries for official/unofficial campus visits. Organize travel for coaching staff and team including preparing itineraries and managing travel details. Perform processes within JumpForward, ARMS, maintaining prospect database/academic information, preparing prospect visit forms, requesting tickets, and submitting travel party declarations. Order office supplies. Record and prepare minutes of staff meetings. Perform routine clerical tasks - copying, proofreading documents, distributing mail to staff, answering main lines, and handling inquiries. Prepare draft correspondence such as letters, emails, spreadsheets, and other documents, and coordinate mailings. Other Duties

Minimum of three years of administrative assistant experience in a professional office setting. Ability to prioritize duties while managing a high volume of workflow with changing demands. Desire to exercise initiative, sound judgment, diplomacy, and confidentiality. Demonstrate a positive and energetic attitude and communicate effectively with all team members and support staff within Michigan Athletics and the UM community.  Excellent interpersonal skills when working with athletic department team members and persons outside the department. Proficiency in word processing (MS Word), calendar/scheduling, spreadsheets, and computer file management.
