Purpose: Administrative Assistant I will provide all aspects of administrative office support and management for efficient day-to-day administrative operations.
Essential Job Functions: Knowledge of the mission of Lincoln University, College of Agriculture, Environmental and Human Sciences, as well as Cooperative Extension. Provide a wide range of administrative office support for efficient day to day administrative operations, to include calendar management, coordination and appointment scheduling, booking travel accommodations, reimbursement reporting, requisition processing in Colleague, filing and mail distribution. Create and maintain reports and spreadsheets, initiating, transferring, and tracking paperwork, manage procurement of goods and services, maintain supplies and other inventory, assist in daily office needs. Support special assigned projects and events. Track University deadlines and submission of reports. Write and distribute correspondences to include email, memos, letters, and forms. Submit and reconcile P-card expense reports. Participation with meetings, agendas, setup and taking detailed minutes. Answer departmental telephone and provide positive interaction with internal and external contacts. Learn and follow University regulations pertaining to the position. Provide administrative support to the Paula J. Carter Center on Minority Health and Aging, represent the center at meetings as well as accompany staff to meetings, and set up and be responsible for displays. Additional Duties and Responsibilities: May include working occasional evenings and weekends. Qualifications: Knowledge, Skills, Abilities, and Personal Characteristics Required
Have strong organizational and time management skills. Ability to learn quickly and very proficient with detail-oriented work. Ability to complete tasks with minimal supervision. Excellent communications skills to include verbal, written, and grammar. Excellent computer skills and ability to demonstrate knowledge of Microsoft Office software, Word, Excel, Outlook, and PowerPoint. Experience with office equipment such as printers, scanners, and fax machines. Excellent social and interpersonal skills necessary to work effectively with a diverse range of people, to include faculty, staff, students, constituents, and various communities in the State of Missouri. Preferred
Ability to use social media to assist senior staff with teaching and program promotion. Ability to read, speak, and understand Spanish. Certificates, Licenses, Registrations: Required
High school diploma or equivalent; at least two years' experience working as an office manager and/or as an Administrative Assistant. Preferred
Business School or associate degree. Physical Demands: Light sedentary office work, ability to sit at a workstation for extended periods. Occasional ability to lift, carry, and put away parcels, ability to lift up to 25 lbs. The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms. Normal physical mobility, which includes movement from place to place. Normal physical agility, which includes ability to maneuver body while in place. Normal physical strength to handle routine office materials, equipment and tools. Normal endurance.
