This position is responsible for performing a wide range of support activities, both administrative and clerical, to help ensure that the department operates effectively and efficiently. This position requires the exercises of initiative, independent judgment, and discretion. ESSENTIAL JOB DUTIES: Responsible for office correspondence including answering and responding to phone calls, voicemails, emails, memos, letters and greeting students/guests that come into the office; Generate and maintain spreadsheets such as full-time equivalency, credit hour production, expense tracking for departmental accounts, and book orders; Generate forms related to workload sheets such as overload, release time, independent study, projected summer budget, budget transfer, budget requests, requests to hire, faculty credentials checklists, etc.; Generate purchase order and reimbursement requests and travel forms; Build, maintain, and update schedule of classes, including working to schedule classes considering faculty loads, classroom space availability, course sequence, and catalog coordination; Create and maintain student advising files, making note of classes that need to be taken soon due to sequencing requirements; Assist with student and professional organization activities - annual awards banquet, tickets, programs, trophy orders, etc.; Assist with organization of Accounting Advisory Board meetings and Meet the Firm events; Process the hiring (post position, contact students being interviewed, complete paperwork to hire, etc.), train, and supervise work study students; Maintain departmental records and files, including the syllabi for each class section; Enter registration permits; Review and distribute graduation check sheets; Verify grade submissions; Copy course materials for faculty, as needed; Update faculty vitae for AACSB reporting; Collect faculty performance reports; Proctor make-up exams for the department; Perform all other duties as assigned. ADDITIONAL DUTIES: Receive, sort, and disperse office mail; Record minutes for faculty meetings; Generate and post office hours for faculty and submit to dean's office; Assist students with class scheduling; Create prerequisite flowcharts and four-year plans; Request student reports and manipulate data; Create communications and marketing materials for department such as brochures, posters, bulletin boards, social media posts, etc.; Perform internet-based research; Request complimentary copies of textbooks and associated teaching materials for the faculty; Assist in the preparation of materials for Preview Day, SOAR, and other recruiting activities; Assign new students to departmental advisors; Coordinate with maintenance concerning work requests; Make off-campus pick-ups and deliveries as requested. High school diploma/equivalent, required; Some college education, preferred; One to two years of related experience, required.
