ADMIN ASST GEN COUNSEL/LEGAL SECRETARY Position Number: S-3302 Position Summary: Serves as administrative assistant in support of the General Counsels legal administration team. Coordinates complex projects for the office, including management of the Manual of Policies, Procedures and Guidelines and the Board of Trustees Policy Manual. Maintains and processes confidential attorney client information, data, records and files including assisting with Freedom of Information requests (FOIA).


Required Qualifications: High school diploma or GED.
Three years of experience in progressively responsible office support positions.
Demonstrated ability to accomplish administrative assignments independently.
Demonstrated positive interpersonal skills.
Demonstrated ability to communicate effectively and project a positive attitude.
Excellent spelling and grammar skills.
Knowledge and skill in working with office software programs, including Microsoft Office 365 and Adobe Acrobat, information technology operations and usages; and/or demonstrated ability to learn them quickly.
Ability to perform the essential functions of the position, with or without reasonable accommodation.


Preferred Qualifications: Legal secretarial experience or a Bachelors degree in lieu of legal experience.
Knowledge of higher education organization and policies.
Critical thinking skills.
Prior experience using or maintaining legal publications.
Experience archiving and tracking documents and files.
Knowledge of the FOIA process and filing system.
Knowledge of Subpoena and Record Request process.
Demonstrated ability to design/maintain web pages using Sitefinity program.
Ability to use and understand university financial systems.


Duties & Responsibilities: Assists with, and maintains, a formal system of office procedures and administrative controls.
Ensures compliance with university policies and procedures.
Coordinates calendars; schedules meetings; acts as a liaison with inside and outside contacts and in scheduling, prepares meeting materials, arranges for meetings, workshops and conferences; obtains and provides information and records, and other support functions related to work area.
Assists digital strategist with online format for office website.
Locates and uses forms as requested by attorneys; types and finalizes correspondence for attorneys, as assigned.
Opens and routes mail, handles US Mail, UPS, DHL, and FedEx mailing/shipping.
Handles some correspondence, telephone calls and e-mail inquiries independently within competence.
Picks up/delivers material to/from various university locations in students absence.
Monitors incoming requests for information and reports to ensure a timely turnaround and that deadlines are met.
Conducts special projects and assignments as directed; works with other offices to gather documents and information as needed to assist professional staff with responding to Freedom of Information requests, subpoenas, investigations; collects and compiles data.
Locates and organizes background material in preparation for work by professional staff on legal matters.
Maintains electronic filing system and archives documents according to document retention schedule (file maintenance includes organizing, setting up new files, identifying and entering cross-references and preparing files for electronic storage and archiving), which requires exercising considerable decision making skills to maintain various types of files, such as litigation, subpoenas, bankruptcy, Freedom of Information, as well as general files.
Organizes and maintains files of university owned property.
Monitors subscriptions to legal library and other office memberships/materials; verifies expiration dates and receipt of subscription material as ordered; maintains index of materials in library; keeps slip sheet services up to date and corresponds with publishers as needed.
Processes invoices for payment.
Orders supplies, maintains supply inventory, etc.; researches items and equipment to purchase, reports findings to appropriate staff member, and contacts repair service when necessary.
Works with student assistant.
Performs other duties as assigned.
