The AP Specialist/Office Coordinator is responsible for all aspects of accounts payable under the direction of the Accounting Manager. This position is also responsible for ensuring the smooth operation of the office and administrative functions.
Responsibilities and Duties: Setup all new AP suppliers in the ERP system and obtain all required documentation. Maintain and update supplier data in the ERP system. Prepare annual supplier 1099 forms. Review all invoices for appropriate documentation, post invoices into the ERP system and file. Reconcile supplier statements and Accounts Payable aging by identifying and analyzing detailed invoice postings. Process credit card charges into the ERP system, reconcile monthly credit card statements. Assist in preparation of month end closings. Maintain files and documentation thoroughly and accurately. Respond to all supplier inquiries with promptitude and courtesy. Scanning and imaging of invoice documents. Responsible for maintaining office supplies and equipment. Responsible for organizational functions and general meeting support: including maintaining office space, securing food and supplies. Provide phone support. Other related duties as assigned. Skills and Qualifications: High School Diploma or GED equivalent, College degree preferred but not required. 3+ years of Accounts payable experience In-depth knowledge of accounts payable principles and accounting standards. Previous experience with cash application and journal entries. Must be highly organized. Ability to adhere to established deadlines. Strong computer skills, competent with Microsoft office, especially Excel. Excellent oral and written communication skills. Other Requirements: Job Type: Full-time
