Job Title: Accounting Coordinator Immediate Supervisor: Controller Employees Supervised: None
FLSA: Non-Exempt General Description/Position Summary: The Accounting Coordinator position advances the mission of the St. Louis Area Foodbank by providing accounting support to its internal stakeholders. Responsibilities include participating in accounts payables, accounts receivables, cash application, month-end close, and other assigned projects.
Duties and Responsibilities: Accounts Payable Keep the Controller apprised of daily operations and communicate any problems or issues in a timely manner with proposed solutions. Ensure the efficient operation of the Accounts Payable (AP) and other accounting duties. Verify the accuracy of vendor invoices and the general ledger account codes. Obtain appropriate approvals for invoices and accurately enter into Ceres with proper cost allocations. Respond to external vendors and internal managers regarding all aspects of the accounts payable process, including processing invoices for payment and reconciliation of subsidiary to general ledger. Implement tactical processes, enforce policies, and monitor internal controls. Reconcile vendor statements to ensure organization accounts for all possible invoices and credits. Research information to provide accurate and timely solutions to internal clients and vendors. Generate payment to vendors or clients on a routine schedule and match the check with backup for review by Finance/Accounting or other appropriate personnel. Maintain filing and historical records in compliance with the record retention policies. Collect appropriate Internal Revenue Service (IRS) W9 information and maintain the AP tax information to meet IRS regulations. Assist in year-end IRS 1099 processing and preparation by verifying all data paid in the applicable year. Maintain the integrity of the vendor master file to ensure payments are aged properly. Prepare and submit positive pay files to the bank for checks issued. Philanthropy/Accounts Receivable Update daily cash. Process daily checks of all bank transactions incoming automated clearing house (ACH), all debits and credits. Process donations received and prepare bank deposits. Reconcile recorded donations between the organization's customer relationship management system Raiser's Edge (Philanthropy Department) and the general ledger. General Accounting Provide requested information to assist in preparation of appropriate journal entries related to the various areas in support of month end closing. Perform appropriate general ledger account reconciliations and analyses. Maintain current written desk top procedures. Perform monthly, quarterly, and annual closing activities. Perform bank account and general ledger account reconciliations and analyses. Provide assistance with external audit, including preparation of year-end audit work papers and reconciliations. Reconcile purchased inventory balances and make adjusting journal entries as needed. Prepare journal entries and account reconciliation schedules. Maintain the petty cash fund. Assemble information for external auditors. Help process incoming mail, accounts receivable and other reception duties as needed. Assist with other Finance/Accounting departmental responsibilities as needed. Perform other appropriate duties as assigned. Requirements and Qualifications: Education Requirements High school diploma or equivalent required. Some college courses in accounting/bookkeeping or equivalent coursework desired. Associate's Degree preferred. Minimum of 3 years of accounting experience. Not-For-Profit Accounts Payable and Accounts Receivables experience is highly desired. Computer Skills Knowledge and experience with integrated general ledger accounting systems. Intermediate to advanced experience and proficiency with the Microsoft Office suite of tools (including, but not limited to: Outlook, Teams, Word, Microsoft 365, Excel, PowerPoint, etc.) Qualifications Ability to develop oneself through continuous learning, initiative, innovation, resourcefulness, and critical thinking. Ability to prioritize, effectively manage multiple projects concurrently, and take ownership of work. Ability to meet tight deadlines, work extended hours during accounting close, audit periods and other critical times. Ability to work independently and as part of a team as necessary. Ability to work collaboratively with internal and external customers. Demonstrated ability to build partnerships and work collaboratively with others to meet shared objectives. Ability to establish and maintain effective working relationships with diverse internal and external stakeholders. Ability to maintain confidentiality of company information. Must be meticulous, but able to maintain a balanced perspective in rapidly changing business circumstances. Ability to work productively in a multicultural environment and demonstrate respect for differences. Excellent verbal and written communication skills. Passion for the Foodbank's mission and the ability to demonstrate SLAFB's Core Values: Stewardship, Teamwork, Agility and Respect. Proficient with Microsoft Excel including V lookups, pivot tables, data, and quantitative analysis. Ability to maintain confidentiality of company information. Must be able to pass criminal background check and drug screening. Work Schedule: Monday - Friday onsite at the Foodbank facility and in the community as needed. However, flexibility will be granted as appropriate in accordance with the Foodbank's Remote Work/Working From Home Policy. Occasional evening hours may be required.
