Job Overview: Under the direction of the Business Office Director, you will be responsible for supporting the accounting department in managing fixed assets and accounts receivable functions. Your role will involve maintaining accurate records of fixed assets and ensuring timely collection of accounts receivable. Attention to detail, strong organizational skills, and proficiency in accounting software are essential for success in this role.
Key Responsibilities: Fixed Assets Management-
· Initial identification of capital expenditures and entry of all fixed asset information into fixed asset accounting system.
· Responsible for proper bookkeeping of the Invested in Plant Fund including, but not limited to, initial recording of acquired assets, annual depreciation, and proper handling of disposals.
· Responsible for immediate tagging of all new capital equipment as well as periodic physical inventory of capital equipment.
· Provides periodic inventory listings to custodial departments and reconciles with physical inventory.
Accounts Receivable Assistant-
· Communication with students regarding billing inquiries and payment discrepancies
· Prepare and analyze accounts receivable reports to aid in collection efforts.
· Receipting, balancing, and depositing of institutional funds.
· Maintaining and balancing accounting records for all receivable accounts.
· Provide support to the Bursar as needed and serve as a back-up when the Bursar is on vacation or out sick.
OTHER DUTIES AND RESPONSIBILITIES: Performs other related duties as required or assigned by Supervisor.
Qualifications: Knowledge, Skills, and Abilities: Knowledge of fixed asset capitalization criteria
Knowledge of accounting, specifically as it pertains to fixed asset and accounts receivable principles and practices Ability to skillfully utilize Word and Excel Ability to prepare clear and concise reports Analyze fiscal reports, spreadsheets, and other materials and draw logical conclusions Ability to plan, organize, implement, and administer record-keeping systems and procedures Ability to multitask and meet performance goals and deadlines Communicate effectively both orally and in writing Provide pleasant and effective customer service to all constituents of the college Perform physical activities including light lifting, bending, and kneeling for short periods of time Education/Experience: Two years of higher education with at least 12 hours of accounting course work, or Two years employment experience in the accounting field, preferably in fixed assets and/or accounts receivable.
