Other Description The Account Director, Event Solutions will represent IMN Solutions and support with the management of a portfolio of accounts. The Account Director, Event Solutions will work directly with IMN project teams, IMN clients and industry suppliers ensuring all client needs are met and expectations exceeded. Core job responsibilities require strong professional customer service, organizational skills, ability to task switch, creative thinking, and problem solving.
Event Operations The Account Director will serve on project teams to successfully execute in-person, virtual, and hybrid conferences. Responsibilities include but are not limited to:
Management of conference and event logistics; pre, on-site and post, in-person and virtual Coordination of all aspects of the event planning process (hotel room blocks, all food and beverage functions, audio/visual, operations within convention center, production, virtual platform, transportation, off-site activities, etc.) Management and coordination of all vendors, staff, and volunteers as required Exhibit management and tradeshow coordination in conjunction with the client team and decorator Creation of the event specifications document, staff schedule, and run of show Facilitation and leadership in regular conference planning meetings Management of staff on-site Speaker management including contracting, communications, and on-site coordination Registration and housing management Development and maintenance of program agendas Management of the CEU/CPE/CME (Continuing Education) process as needed for client's conference Creation, maintenance, and management of balanced program budgets for each meeting in which IMN is responsible o Experience with limited budgets and recommending effective cost saving solutions is preferred Management of online event registrations Regular reporting on applicable event markers (registration, hotel block, etc.), pre and post event Execution of any sponsor, exhibitor, and partner program deliverables Planning and execution of planning site visits for each conference assigned Providing strategic guidance to the Client regarding industry trends (i.e. COVID safety guidelines, virtual/hybrid strategy, pricing structures, and innovative ideas for events) Ensuring that events meet legal, safety, and health requirements and regulations; obtaining necessary permits from fire and health departments Management of all administrative duties and details associated with the event including financial operations, distribution of promotional materials, and responding to inquiries Working closely with client team members to align registration, marketing, accounting, and administrative efforts Performance of other related duties as assigned Client Services: Responsible for understanding the established standard operating procedures for IMN client accounts Delivering exceptional customer service Working directly with client and/or hotels to resolve issues Creative out-of-the-box thinking Database & Internal Support: Ensure all account data is entered into the IMN database in a timely and efficient manner Creating and maintaining client information electronically Working in a highly collaborative team environment Requirements: Bachelor's degree or equivalent combination of education and experience Certified Meeting Planner (CMP) designation a plus 7+ Years in Hospitality Industry (Meeting Planning and/or Venue CSM) preferred Strong knowledge or experience in project management and meeting planning Expert time management skills Good judgement skills and adherence to deadlines Ability to work independently and collaboratively cross-team Familiarity or experience with virtual conferences a plus Proficiency in Microsoft Office with exceptional experience working in spreadsheets; SmartSheet, Adobe Acrobat; database management; knowledge in Cvent a plus Attention to detail; organization skills; ability to multi-task; interpersonal communication; strong negotiation tactics, strategic and analytic thinking are essential This position will require travel to client meetings, industry events and site visits, 8-12 trips annually Remote work environment but prefer someone in the Delmarva area for ease of travel Physical Requirements: Must be able to stand and walk for long periods of time during events Must be able to lift up to 25 pounds at times Must be able to work a variety of hours in order to accommodate events
