Required Qualifications:

Graduate degree. Experience working with faculty, staff, students, and administrators in higher education. Experience working with admissions and graduate student programs preferred. Proven financial, administrative and operations skills. Commitment to and experience working with diverse individuals and groups. Demonstrated ability to analyze & communicate complex issues from multiple frames of reference and perspectives. Position Overview:
Provide primary support for the operations, advising, and admissions of the School of Statistics' graduate programs(approximately 45 graduate students in the School of Statistics Ph.D. program and 51 graduate students in the School of Statistics MS program). Assess needs, seeks solutions, and implements decisions that influence students' academic and personal lives. This position also supports key components of the school's undergraduate program.
Job Responsibilities:
Manage Graduate Student Recruitment and Admissions - 40%
Academically advise prospective students via individual appointments, email/phone consultation, advising events, and new student orientation. Establish, implement, assess and improve best practices in recruiting graduate students. Oversee the processing and evaluation of all PhD and Master's applications. Correspond and meet continuously with potential students and applicants for the PhD program. Advise potential students on the application process and program-specific application requirements. Work closely with the Graduate School admissions office to annually update the admissions applications, process admissions decisions and determine international student degree equivalencies and application qualifications. Publicize the graduate program by creating, updating, and distributing publicity and marketing materials and ensure the accuracy of printed and online materials and information about the program (Graduate school catalog, various university web sites, etc.). Responsible for coordinating the annual recruiting process. Serve as main contact to UMN undergraduate students who plan to apply for the graduate program, providing academic advising on PhD and MS program prerequisites. Oversee the selection and nomination process for graduate fellowships and awards, and for teaching assistant awards for new graduate students. Correspond and track admitted students' admission decisions; strategically work to improve yield to shape a desirable cohort of incoming students. Serve as liaison to national and local organizations to develop and implement DEI recruitment channels and strategies. Oversee summer graduate student fellowship support programs involving outreach, consulting, and educational development tracks. Academic Advising – 20%
Academically advise current students via individual appointments, email/phone consultation, academic advising events, classroom presentations, and new student orientations. Oversee program orientation of new graduate students and assist them in their transition to graduate student life. Assess students' progress toward program completion, audit students' records, recommend course selections, and prepare academic plans to meet program requirements. Coordinate annual progress reviews of the school's graduate students. Advise students through the process of submitting necessary graduate school paperwork, including navigating the Graduate Planning and Audit System, written prelim exam results, forming and submitting an oral prelim committee and applying for graduation. Advise students regarding engagement opportunities related to statistics, including students' participation in faculty research, community engagement opportunities, fellowship opportunities, internships, study abroad, conferences, etc. Address, advise and resolve registration issues such as issuing permission numbers, term activating students, and activating or deactivating holds or student groups for department graduate students. Oversee student enrollment in STAT 8888, GRAD 999, STAT 8444, and STAT 8666. Grant student permission numbers and ensure courses are being taken in proper sequences with proper prerequisites. Advise students with special circumstances or requests, for example, regarding academic or health accommodations and leaves of absence. Counsel students who are experiencing academic or personal difficulty. Provide enrollment and employment verification letters for current students. Advise graduate students regarding their options for financial support and changes in their support packages. Review and respond to student grievances. Serve as department liaison to Graduate Student Services and Progress, including reporting written prelim results and ensuring the accuracy of adviser/advisee appointments. Graduate Program and Student Services Operations Management – 25%
Manage systems and processes, physical and financial resources (e.g., fellowship funds) for the graduate programs. Work with the DGS and the Graduate Student Liaison Committee (GSLC) to design, develop and implement innovative student services initiatives. Oversee graduate advising/student services communications, including web site content, social media outlets, electronic newsletter publications, etc. Prepare budget forecasts for the school's graduate student recruiting and services budget. Gather, analyze data and create reports for the internal and external requestors dealing with graduate student profiles, sources of support, job placement, etc. Track and maintain an active database of student job placements. Communicate with alumni and faculty to ensure a robust data set. Supervise and train graduate student services employees that assist this position. Plan and oversee budget and execution of student awards, written preliminary exams, and preliminary and final oral exams. Analyze the curricular needs of other university units that require statistics courses for their degree programs and construct the statistics curriculum to ensure accessibility. Proactively make recommendations to the DGS and faculty advisors to ensure that graduate students attain timely ABD status. Develops and updates website content for the school's graduate and undergraduate programs. Maintain department curriculum in CCS and appoint students to TA, GI, RA and other positions Policy Development & Implementation – 15%
Determine optimal channels for communicating policies to students and other interested parties and share them accordingly Adjudicate academic exception requests/petitions from statistics students regarding statistics academic programs/policies Work closely with the DGS, Director, and Administrator as part of the leadership team. Address issues and develop policies that affect undergraduate and graduate student recruitment, advising, retention, and progression. Interpret college and university academic policies for statistics faculty and staff Responsible for maintaining the Graduate Student Handbook. Clarify, update, and develop policies and procedures when needed. Plan, implement, and evaluate the delivery of graduate student services, including the initiation of innovative approaches that continue to improve student services. Collaborate with the school's staff and leadership on academic University, college and departmental processes. The work location is hybrid, typically four days in the office and one day work from home (workload permitting).
The School of Statistics is a leading center of statistical practice, education, and research. There are currently 17 full-time faculty members and one joint faculty member with Psychology with research interests ranging from foundational statistics and data science theory and methods development to interdisciplinary applications in clinical trials, climate science, neuroimaging, psychometrics, and astrostatistics, among others.
The School offers B.A., B.S., M.S., and Ph. D. degree programs, and has approximately 154 undergraduate majors, 177 minors, and approximately 95 graduate students including 44 Ph.D. students. Many of the school's faculty members are affiliated with the M.S. in Data Science degree program. The school also directs the Institute for Research on Statistics and its Applications (IRSA), which facilitates interdisciplinary research involving statistics and data science.
