Org. Setting and Reporting
This position is in the Budget & Finance Section in the Executive Office of the Department of Economic and Social Affairs (DESA), Office of the Special Adviser for Africa (OSAA), Office of the High Representative for the Least Developed Countries, Landlocked Developing Countries and Small Island Developing States (OHRLLS), Regional Commissions New York Office (RCNYO) and the Chief Executives Board (CEB) Secretariat New York Office. The incumbent works under the overall supervision of the Senior Finance and Budget Officer. Responsibilities
Responsibilities: Within limits of delegated authority and under the supervision of the Senior Finance and
Budget Officer, the incumbent may be responsible for the following duties:
1. Performs a wide range of office support and administrative functions.
2. Responds or drafts responses to routine correspondence and other communications; uses standard word
processing package to produce a wide variety of large, complex documents and reports.
3. Provides support in the preparation of Host Country Agreements, Contribution Agreements and
Memorandums of Understanding, proofreads the draft agreements/memorandums and ensures compliance
with relevant legal requirements and adherence to established standards for format.
4. Screens incoming correspondences; responds to information requests and inquiries, and as necessary, refers
inquiries to appropriate personnel for handling.
5. Provides secretarial, administrative and logistics support to Budget and Finance Section and the Executive
Office.
6. Assists in the preparation of presentation materials using appropriate technology/software.
7. Reviews, records, distributes and/or processes correspondences and other documents; follows-up on
impending actions.
8. Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports,
where possible using electronic formats; handles arrangement for printing and translation as necessary;
coordinates shipment arrangements, courier services, etc.
9. Performs general administrative tasks (e.g. arrangements for meetings and other events, reservations, budget
follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions,
purchase orders, travel requests, contracts, expenditure authorizations, etc.).
10. Maintains files and databases for work unit.
11. Performs other duties as assigned. Competencies Professionalism:

Work Experience
A minimum of three years of experience in finance, budget, accounting, administrative services or related area is required.
Experience in using Microsoft Office applications is required. Please explain if you have experience working with word processing, spreadsheets and relevant software packages.
Experience working with the United Nations or other international organization is desirable.
Experience in using Enterprise Resource Planning (ERP) system, such as Umoja, and other relevant software packages is desirable.
Experience in reviewing agreements is desirable. Languages English and French are the working languages of the United Nations Secretariat. For the position(s) advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage. Assessment

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
