Position Summary: The K-12 Registrar plays a critical role in managing student records and ensuring compliance with academic policies and regulations. This position is
responsible for maintaining accurate enrollment data, managing student transcripts, and
supporting administrative functions related to student registration and scheduling. The
Registrar serves as a key point of contact for students, parents, faculty, and external
stakeholders regarding academic records and enrollment inquiries.
Key Responsibilities:
1. Student Enrollment and Registration:
• Coordinate with the Enrollment Director to maintain student files for new
and returning students, including collecting required documentation and
verifying residency status.
• Input student information into the student information system (SIS)
accurately and efficiently.
• Assist families with the registration process, answer inquiries, and provide
guidance on enrollment procedures.
2. Student Records Management:
• Maintain comprehensive and up-to-date student records, including
demographic information, academic transcripts, attendance records, and
immunization records.
• Ensure compliance with state and federal regulations regarding student
records management and data privacy.
3. Transcript Management:
• Process transcript requests from students, alumni, colleges, and other
authorized parties in a timely manner.
• Verify academic credits, grades, and graduation requirements for transcript
accuracy.
• Prepare and distribute official transcripts as needed for college
applications, scholarship opportunities, and employment verification.
4. Course Registration:
• Collaborate with academic departments and guidance counselors to enter
course selections in the SIS.
• Coordinate with the Secondary Principal to ensure students are taking the
courses need for graduation and answer questions should parents have
course information queries.
5. Reporting and Compliance:
• Generate reports and analyze enrollment data to support decision-making
and strategic planning initiatives.
• Ensure compliance with state and district reporting requirements for
enrollment, attendance, and graduation rates.

2. Alert families when their child(ren) are not meeting attendance
requirements.
• Participate in audits and reviews of student records to maintain accuracy
and integrity.
6. Staff Records Management:
• Work with the HR department to support staff file management as
needed.
7. Communication and Customer Service:
• Serve as a primary point of contact for student and parent inquiries
regarding enrollment, records, and registration processes.
• Provide excellent customer service by addressing concerns, resolving
issues, and assisting with special requests in a professional and courteous
manner.
• Communicate effectively with school staff, faculty, administrators, and
external stakeholders to facilitate smooth operations and collaboration.
Qualifications:
• Bachelor's degree in education, business administration, or related field preferred.
• Previous experience in student services, enrollment management, or registrar
functions preferred.
• Knowledge of student information systems (SIS) and data management systems
(e.g., Gradelink, Google School) preferred.
• Strong organizational skills and attention to detail with the ability to maintain
accurate records and manage multiple tasks simultaneously.
• Excellent interpersonal and communication skills, both verbal and written, with a
customer service-oriented approach.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant
software applications.
• Understanding of K-12 education policies, regulations, and compliance
requirements preferred.
• Commitment to confidentiality, data privacy, and ethical standards in handling
student information.
Working Conditions:
• This position typically operates in a professional office environment within a
school setting.
• Occasional evening or weekend hours may be required during peak enrollment
periods or special events.
Salary Range:
• $35,000.00 – $50,000.00 – dependent on degree(s), certification(s) and
experience.
