Click here to apply: The Programming and Education Coordinator provides support and administration for all programming, special events, and educational and community engagement efforts at the Hobby Center for the Performing Arts. Embedded in the Programming and Education Department, this role supports the team by executing administrative and event-driven tasks. This team member will serve as the lynchpin for the department, balancing complex responsibilities with the urgency of immediate daily operations of the Hobby Center's expanding programs.
Overall, the position is responsible for supporting the development and execution of department systems and policies along with providing superior administrative and logistical support for all program activities, helping fulfill The Hobby Center's mission and its arts impact in Houston.
The core activities under administration for this position include coordinating all aspects of special events and rentals, serving as the artists liaison for presented programming, facilitating administrative functions for educational and community engagement efforts, and providing general support to the department.
MAJOR FUNCTIONS:
Programming/Special Events Coordination and Support Serve as the main point of contact and welcoming representative for all rentals and special events by providing campus tours, written documentation, ongoing support, and follow-up to guarantee exemplary partner-centered service through course of full experience.
Manage and track all rentals and special events and provide timely responses to inquiries.
Serve as representative on duty at special events and other rentals that require department's support and implementation.
Coordinate and execute all artists liaison needs for presented programming, including planning, organizing, and advancing travel, housing and hospitality requirements, and working select scheduled nights and weekends to ensure the Hobby Center serves as a welcoming home for all artists.
Partner with the Technical Production team and become familiar with the technical capabilities of both Sarofim and Zilkha Hall to prepare and advance presented programming.
Serve as the liaison for preferred vendors and maintain a list for hospitality and technical services, including food and beverage, hotels, transportation, and delivery services.
Coordinate and manage all administrative functions for the ExxonMobil Discovery Series, including registration, districts and artists agreements, curriculum distribution, transportation, surveys and all correspondence and communication needs.
Serve as the main point of contact for schools and district leaders to secure performance registration and attendance.
Act as Front-of-House lead during all student matinee performances, partnering with the Hobby Center's Floor Captain and volunteers, to efficiently welcome students and educators to our campus.
Assist in the development and implementation of community engagement programs, including talkbacks, masterclasses, sensory inclusive performances, and accessibility initiatives, among others.
Support the planning and implementation of community meetings, festivals, and events held throughout campus and across the city.
Develop and maintain educational programming materials, filing system, and website information.
Work with marketing and communications team on educational and community engagement programs promotion. Department Coordination and Support
Provide resourcefulness and support for the Programming and Education department in all areas.
Maximize usage of various software systems, including Momentus Elite and Event Draw, to guarantee accuracy, efficiency, and tracking.
Liaise across internal departments for all programming and education programs and address any logistical gaps.
Track program and activity data and develop reporting for use in fundraising and institutional communications and ensure well-informed communication flow and impact.
Responsibilities may be modified as needed to meet the organization's goals and employee's strengths.
QUALIFICATIONS: Team members at the Hobby Center for the Performing Arts must thrive on challenge and be comfortable working in a dynamic, fast-paced environment. Working with a nimble and efficient team requires that members bring an entrepreneurial spirit to their work, providing leadership across a broad scope of work.
Two years of experience in performing arts administration, education, hospitality, events, nonprofit arts organization, or a comparable environment. 3 of 3A deep commitment to the performing arts and to our core values: tenacity, respect, inclusion, gratitude, and exploration.Excellent communication and presentation skills (both written and verbal).A high degree of professionalism, confidence and flexibility that allows the incumbent to work collaboratively and effectively with clients, school partners, and colleagues of diverse backgrounds.Excellent ability to prioritize, organize, and manage multiple competing assignments and responsibilities and communicate effectively regarding progress to deliverables. • Values accuracy and commitment to excellence, with a keen eye for detail.Ability to prioritize work and adjust to multiple time-sensitive demands.Availability to work evenings and weekends to support the successful execution of performances and events.Customer service-focused approach.Entrepreneurial mindset. COMPENSATION: The Hobby Center offers a competitive compensation and benefits package including medical, dental, and vision insurance, a 403b savings plan with matching employer contributions, and paid time off. The anticipated hiring range for this position is $45,000 to $55,000.
