The Office of Donor Engagement and University Events is a comprehensive event and donor engagement function reporting to the Office of the Chancellor. The primary purpose of the organizational unit is to provide management of key Chancellor events, university events, donor events and donor engagement opportunities. It also oversees the Grandview Ballroom event space, Grandview Catering, and Mountaineer A/V services. This unit also manages the scheduling of all non-academic spaces and events through the University Scheduling and Events Office. In addition to donor events, it supports University Advancement in developing and maintaining engagement strategies to enhance fundraising efforts.
This position provides support to the Office of Donor Engagement and University Events by creating and sending event communications, and managing data related to Chancellor events, Provost events, university commencement, donor events, and select campus events. This position may act as first level of contact for guest inquiries via email, phone and occasionally in person. Performs internal management duties including credit card reconciliation, inventory and purchasing and on site event support as needed.
Job Responsibilities and Expectations of the Program Specialist include: Strong work ethic Excellent verbal and written communication skills are required to interact effectively with donors, volunteers, campus service units, development staff and other constituents Experience with creating and managing spreadsheets, marketing materials, basic graphic design skills, and a practical understanding of technology Data base knowledge and ability to complete budget processes meeting deadlines and with attention to detail Proven experience with editing and proofreading correspondence and departmental materials Ability to work outside normal business hours including occasional nights and weekends and occasional travel Demonstrated ability to work quickly and multi-task with excellent attention to detail The ability to keep information in confidence is vital A valid driver's license and the ability to run errands or transport event supplies is required Ability to lift up to 25 pounds Knowledge, Skills, & Abilities Required for this Position Excellent verbal and written communication skills required to interact effectively with donors, volunteers, campus service units, development staff and other constituents. Data base knowledge and ability to complete budget processes meeting deadlines, and with attention to detail. Proven experience effectively editing and proofreading correspondence and departmental materials. Ability to work outside normal business hours for occasional nights, weekends and travel. Demonstrated ability to work quickly and multi-task with excellent attention to detail. Ability to keep information in confidence is vital. A valid driver's license and the ability to run errands or transport event supplies is required. Ability to lift up to 25 pounds. Preferred Qualifications Bachelor's degree from an appropriately accredited institution plus one year of experience or Associate degree and 3 years of experience. Proficiency using Microsoft Office and Google App Knowledge of Banner Experience and accuracy in creating lists, signage, name tags and other event support materials Excellent organization skills and a high level of integrity Ability to represent the university professionally Work Schedule/Hours: Mon-Fri, 8am-5pm. Night and weekend hours are occasionally required for special events on the Boone and Hickory campuses.
Anticipated Hiring Range: $43,647-55,000
