The Work You Will Do: This posting is for an Operations Analyst I position located at the Department of Environmental Protection's Southeast District Office located in West Palm Beach Florida. This position will assist in the daily functions of the Business Planning Program.

Where You Will Work: This position is located in West Palm Beach Florida. West Palm Beach is Palm Beach County's capital city and its cultural center. Its active downtown stretches from a scenic pier on the Lake Worth Lagoon to a waterfront Great Lawn, which hosts a weekly green market, outdoor concerts and this season a 35-foot-tall holiday sandcastle. Dozens of local beaches provide easy access to both the Atlantic Ocean and the Intercoastal Waterway. Several State Parks as well as National Parks are in the immediate area as well.

Pay: $34,070.40 Annually Your Specific Responsibilities: Performs associated administrative and consultative duties for the Workflow Team in all applicable Program Areas, as needed. Primary administrative functions include: preparing permitting applications for processor review, set-up into the oracle database system, inserting supporting documentation into oculus, and sending an oculus link containing key documents to all affected parties. Prepares ERP Auto-letters consistent District SOP and TTP metrics and assists with administrative and consultative duties associated with the Department's CWA 404 Program, including but not limited to scheduling 404 CWE Site Inspections.
Performs associated administrative and consultative duties for all the District programs, including acknowledging permits, consent orders and related documents after signature by Director of District Management. In addition, assists in the preparation of issuance and/or denial of permits; correspondence, reports, memoranda, complex engineering or chemical reports and other subjects that may be engineering, biological/chemical, legal or technical in nature. Assists and backs up other Business Planning team members on an as-needed basis.
Assists with the District's Records Management processes. Assists coding and preparing department regulatory and administrative documents based on priority for the Electronic Document Management System (i.e Oculus). When applicable, convert DEP paper documents to electronic format by scanning, indexing, and inserting documents into the file server and/or the Electronic Document Management System software using the document taxonomy maintained by the Department. Conduct Quality Assurance of DEP documents by completing a page-by-page comparison of paper document to electronic copy. Index and insert electronic documents into the file server and/or the Electronic Document Management System software using the document taxonomy maintained by the Department.
Reviews documents, reports, etc., submitted to the district to ensure compliance with applicable statutory and regulatory requirements. Analyzes and enters data contained therein into appropriate database(s) and notifies Subject Matter Expert(s) of any notable deviations. Maintains current information of division policies and programs and processes routine matters within established policies. Performs statistical, reporting, and other major office functions as requested.
As needed, performs functions for district phone and guest reception. to ensure calls are received and routed appropriately and ensures staffing coverage for same. And as needed, ensures guests are greeted and assisted accordingly.
As needed, receive and opens incoming paper mail, stamps documents with date stamp and then scans and distributes it to the various sections, addressees, etc. Receives and ships all packages via common carriers, receiving electronic mail, routing as appropriate and filing in the proper electronic filing system, scans incoming paper mail, and properly routing both
electronic and paper copies and filing as appropriate, if assigned to do so. Processes all outgoing mail as needed.
Verifies, enters, and facilitates the processing of checks and accompanying paperwork for all monies (application fees, penalties, etc.) received by the Southeast District office, maintains accountability for all checks, following up to ensure that processors return paperwork in a timely fashion, and maintains all necessary records to ensure that improper checks are returned and the appropriate fees (as determined by the processor) are entered into the system in an expeditious manner. Prepares and performs deposit activities as outlined in related standard operating procedures.
Assists team on special projects, as assigned. Special projects may be related to general team projects, specific time-oriented tasks, IT backup, or general duties as they relate to the Business Planning and overall district needs. Responsible for proper use and care of state-owned property and equipment assigned to this position. Attends workshops and seminars when requested.
Performs other related duties as required.
Required Knowledge, Skills, and Abilities: . Knowledge, skills and abilities, including utilization of equipment, required for the position: Utilization of equipment required for the position: Knowledge of general office procedures and practices Skilled in use of a computer and databases Ability to communicate verbally and in writing Ability to plan, organize and coordinate work assignments Ability to work independently with a minimum of supervision Ability to work effectively with co-workers and outside government agencies Ability to maintain valid driver license. Minimum Preferred Qualifications: Associates or Bachelor's degree in Business Administration preferred.
Experience working in government preferred
Experience with Oculus, and /or Permit application processing preferred
