Position: Coordinator, Meetings & Events
Department: Travel Meetings
Reports To:  Director of Meetings and Events

 
Position Overview: The Coordinator , Meetings & Events is responsible for assisting the management of pharmaceutical programs and will work directly with the Meetings & Events Meeting Managers to help execute strategic marketing and medical educational/training programs for our pharmaceutical clients . The individual in this position must be detail-oriented, show a high level of professionalism and customer service, with an attitude of ownership for program success and client satisfaction.
The Coordinator , Meetings & Events reports to the Director of Meetings and Events and will work with the Meetings & Events team to help build and execute programs from start to finish.
Responsibilities include, but are not limited to:
Primary Responsibilities: Work with Director and/or Manager, Meetings and Events to help facilitate pharmaceutical medical education programs including: Large scale programs such as Speaker Trainings, Product Theatres, Symposiums, Customer Receptions/Dinners Small to mid-size programs such as Advisory Boards, KOL/HCP Engagements, local trainings 1:1 Consulting Meetings and HCP meals at large medical conventions Assist Meetings & Events Team with all logistical aspects of programs including: Manage registration websites  Create & manage logistics lists Data Input Order meeting supplies Print/ship materials Organize & unpack meeting boxes upon return Process honoraria payments Process HCP expense reimbursement payments Verify final attendee list and cross reference for accuracy Assist with the reconciliation process upon program completion Upholding the compliance, privacy, and pharma standards for each client THIS IS NOT A SPEAKERS BUREAU POSITION
Qualifications & Software/Technology: 2-3 years of relevant experience Strong work ethic and demonstrated ability in managing multiple/competing priorities Must have strong multi-tasking ability to manage individual and team workload Excellent written and verbal communication skills Creativity and enthusiasm Professional attitude and appearance Attention to detail a MUST Customer service and problem-solving skills Microsoft Office Suite - Excel, Word, Power point, Outlook Adobe Acrobat Performance Measurements: Performance reviews are done annually Direct Reports No direct reports for this position Lifting/Shipping/Boxing/Administrative Requirements: Must be able to pack and lift boxes up to 20 pounds Education Requirements A bachelor's degree or equivalent education and/or work experience Travel Requirements Travel required; approximately 35% percent (occasionally on weekends). Could be 1-2 times per month or more depending on program demands and seasonality.
