Our Field Management team is currently seeking a Senior Administrative Assistant in our Nashville, TN office with a hybrid flex work arrangement.
This is a full time, non-exempt role. POSITION OVERVIEW:
You will provide a full range of administrative support which requires a high degree of competence, accuracy, and confidentiality in addition to administrative, leadership and special project responsibilities. Assists in daily administrative functions that may include involvement and exposure to confidential information requiring the use of discretion. IN THIS ROLE, YOU WILL: Deliver a superior level of administrative support while maintaining a customer service focus in support of the departments. Provides advanced document production support as well as assembling information such as reports, manuals, agendas, and correspondence. Manages advanced office functions including, but not limited to report writing, producing presentations, maintaining data files, managing and formatting excel spreadsheets for basic variance analyses, and organizing work flow through the office. Composes and produces a variety of business correspondence, reports, customer-facing newsletters and marketing communications, and related materials. Manage and maintain calendar and appointment schedules for leaders and coordinates all travel arrangements/reservations. Organize and oversee logistics for formal, larger-group meetings, including at off-site facilities. Participate in special projects within the departments. Collaborate with others in the department in streamlining operational and administrative processes to be more effective across the organization. Serves as a resource to others in the business unit. Interacts and collaborates with other office staff in managing day to day work and or key initiatives. May provide administrative support to other areas of the business unit. Coordinates multi-faceted procedures, processes to accomplish daily work as well as longer-term projects. WHAT YOU NEED TO APPLY: Requires 4+ years of advanced administrative support experience. Associates degree or equivalent preferred. Advanced knowledge of and proficiency using Microsoft Office products (e.g. Outlook, Word, Excel, and PowerPoint, Teams. Power BI is a plus.) Ability to work independently under minimal supervision in a fast paced environment Ability to balance competing priorities while remaining flexible and responsive to changing and dynamic needs Demonstrated ability to provide high levels of customer service Attention to detail and accountability of actions Strong and effective oral and written communication skills Able to handle confidential or proprietary information professionally and discretely Requires strong knowledge of the organization's basic operations and procedures This job posting provides cursory examples of some of the job duties associated with this position.
