Chestnut Health Systems is seeking a full-time Executive Assistant for our Bloomington, IL facility. Chestnut Health Systems is a leading provider of behavioral and primary health care services. Over four decades, Chestnut has grown to over 700 committed, compassionate employees providing substance use, mental health and primary care treatment to patients in Central and Southern Illinois. We provide fully integrated care for all of our patients by combining behavioral health care services with our community-based primary care health centers. **Please note to be considered for a position you must attach a resume, complete the application, and answer all screening questions.  Primarily responsible for providing executive support to the CEO and Chief Operating Officer and General Counsel. Manage calendar, set up meetings and appointments, manage workflow, manage electronic and telephonic correspondence, coordinate and tend to visitors, maintain records, manage and reconcile monthly credit card statement, complete office projects, assist with preparation of presentations, and provide other executive support as requested by the CEO or Chief Operating Officer and General Counsel. Secondarily responsible for providing executive support to Central Region ELC members as requested and as time allows. Setup meetings and appointments, complete office projects, assist with preparation of presentations, coordinate interdepartmental communication, and provide other executive support as requested. Take notes during meetings and teleconferences and produce written summaries. Serve as Board of Directors "liaison". Schedule, plan for, and prepare for Board of Directors meetings and Board Committee meetings, including drafting of meeting agendas and ensuring timely completion of complete and accurate Board Meeting Books. Attend meetings and take minutes. Facilitate communication with Board members and compile and distribute information as directed. Assist General Counsel with other Board matters as requested. Plan and prepare for Executive Leadership Council meetings. Attend meetings and take minutes. Ensure timely follow-up on meeting action items. Serve as administration of Board Effect. Ensure information and documentation is timely uploaded. Facilitate resolution of technical issues as they arise. Serve on Leadership Council (LC) Planning Committee. Schedule and coordinate meetings, assist with development of meeting agendas, gather agenda items, assist with development of presentations, and review feedback/evaluations. Maintain LC meeting records and current membership list. Responsible for corporate travel. Maintain staff travel profiles. Work with travel services providers and travel industry professionals to coordinate air, hotel, car rental, ground transportation, etc. Work within financial guidelines established by the agency. Track expenses, maintain database of same, and provide to CFO and COO fiscal year-end reports regarding annual travel spend. Responsible for corporate conference registration and related arrangements. Ensure appropriate approvals are obtained and documented. Work within financial guidelines established by the agency. Schedule internal and external meetings as requested. Manage meeting room schedules. Administer room booking procedures, including dissemination and collection of waivers of liability and other documentation. Ensure adequate meeting room setup and tear down. Make food and drink arrangements as requested. Responsible for administering volunteer program. Work with Human Resources Department and subject programs and departments as necessary. Serve as administrator of all corporate courier accounts. Track expenses and provide to CFO and COO fiscal year-end reports regarding annual courier spend. Conduct miscellaneous filing. Assist with coordination of miscellaneous corporate activities and events as requested. Monitor and order supplies for copy room. Maintain miscellaneous spreadsheets for tracking purposes. Examples include donations/ memorials, invitation lists, etc. Serve as liaison between the public, clients and customers, staff members, and other executives. Maintain accurate, complete, and up-to-date records of all material activity. Promote Chestnut's culture of customer service excellence through the adherence to Chestnut's behavioral standards of customer services. Maintain and protect confidentiality and security of all organization information gained in the course of employment including, but not limited to, financial and client information. Perform other duties and projects as assigned. Position requires an Associate's Degree with a concentration in administrative support, communications, business or a closely related field; or a Bachelor's Degree in a related field; or an equivalent combination of education, training and experience. At least two (2) years' experience providing support to senior-level management. Must have advanced computer skills with high-level of proficiency with Microsoft Word, Excel, PowerPoint, Access, and Outlook. Must have excellent oral, written and interpersonal skills. Strong service ethic and ability to communicate clearly and effectively with external affiliates and internal staff at the highest level in the organization. Exceptional attention to detail and strong editing and proofreading skills required. Must be able to work independently, handle multiple projects simultaneously and establish appropriate priorities. Must have strong critical thinking skills and impeccable organizational and time-management skills. Must have excellent meeting and event planning skills and basic knowledge of travel industry. Must be able to act with discretion when handling confidential matters and able to maintain confidentiality with sensitive work issues. Must have a valid driver's license, private automobile insurance and m eet standards for agency auto insurance coverage. Satisfactory completion of Chestnut's background checking process.
