Email Operations Specialist (Marketing Technology) Location Nashville, TN (Vanderbilt Area area) : The Email Operations Specialist is part of the Marketing Technology Team within the Marketing team at Vanderbilt University. This role is responsible for coordinating and managing all essential back-end processes to email marketing campaigns and/or projects for the Marketing Technology email team and collaborating with clients to ensure processes and procedures are followed. This position works closely with the entire Marketing Technology team, especially the Email Marketing Manager and Senior Marketing Cloud Manager. Additionally, the role works directly with internal clients across Development and Alumni Relations, Direct Response, Executive Communications and Athletics to intake email requests, manage calendaring based on our internal tiering system and ensure that all email projects have the assets needed for developing, testing and sending on schedule. Role requires excellent relationship management, communication & time management skills, attention to detail and an ability to work in a fast-paced environment and uphold schedules and communication changes to stakeholders as they arise. The ideal candidate for this role has a growth mindset and is skilled at documenting processes and workflows while finding opportunities for continuous improvement.
Reporting directly to the Director of Marketing Technology this position does not have supervisory responsibility. This role manages back-end email processes and coordinates cross functional collaboration prioritization of email for a variety of clients. This role does not require the ability to report to work in-person on the Vanderbilt University campus, unless required for a big project or division wide initiative.
The Marketing Technology team is responsible for optimizing workflows and processes that align with the growing technology stack in addition to developing and executing strategic content via the technology stack to advance the universities priorities and promote engagement across a variety of core audiences. It is part of the broader Marketing and Communications Division, a dynamic and collaborative group of staff that develop and execute strategies to inform, engage and inspire others to participate in Vanderbilt's global academic and research mission.
The Office of the Vice Chancellor for Communications and Marketing drives the mission and strategy of the division and acts as the front office for the university on all matters related to communications and marketing. The Office of the Vice Chancellor works closely with the leadership of the three work units within the division (University Relations, Strategic Communications and Marketing) to ensure key performance indicators are met across the division, including programmatic, budgetary and operational indicators.
The Marketing team is responsible for developing and executing strategic content and developing digital platforms that advance the university's priorities and promote engagement amongst all core audiences. The Marketing Technology team is responsible for managing Salesforce Marketing Cloud and communicating with both internal and external audiences via the various apps within Marketing Cloud. The team is constantly iterating and evaluating data to make data-based recommendations to the various clients they serve from the University. The Communications and Marketing team develops and executes strategies that inform, engage and inspire others to participate in Vanderbilt University's global academic and research mission.
Duties and Responsibilities: Project management of back-end email marketing campaigns. Manages the email communication calendar and coordinating/timing communications across stakeholder groups. Partner with internal stakeholders to oversee the deployment of email marketing campaigns/projects. Responds and manages requests for all email projects/campaigns; ensures all requests are complete and source solutions for incomplete elements prior to sending to Email Marketing Manager and Marketing Cloud Senior Manager for development/deployment. Ensure all action steps are assigned to the correct team members and that they are executed in a timely manner. Own the Wrike Project Management system email intake and task assignment process. Serve as the main communication liaison between Marketing Technology team and internal clients. Provide final quality check on all emails and campaigns prior to execution and delivery. Report project status on a weekly and monthly basis to Email Marketing Manager. Manage the daily workflow of project requests and constant shuffle of priority of projects. Maintain a detailed workflow to ensure on-time and high-quality delivery of all campaigns. Upholds Vanderbilt's brand standards across all projects. Communicate and collaborate effectively with a variety of audiences. Efficiently and effectively manage multiple complex and results oriented projects with quick turn-around requirements. Provide overall support as needed and assigned for department priorities. Perform other relevant duties as assigned. Qualifications A Bachelor's degree from an accredited institution of higher education is necessary . 2 years of experience managing email campaigns and/or projects is necessary . Experience with Email Marketing platforms such as Salesforce Marketing Cloud is preferred . Experience working in project management systems is preferred . Superior attention to detail. Excellent interpersonal and communication skills. Exceptional organizational and time management skills. Self-motivated and able to multitask under tight deadlines.
