Job Description: OHIO University Zanesville seeks applicants for Administrative Specialist. The position provides administrative support for academic and administrative functions which includes preparation of documents and reports; organize and maintain records and information; provide financial support and analyze budgetary expenditures; and support campus events, grants and special projects. Primary Responsibilities Include:
Faculty and Campus Support : Provides academic support for faculty including serving as primary point of contact to administer course materials for faculty teaching over the distance education cross campus system ( OULN ). Provides support for distance education including duplication of materials; maintaining schedule of classes and operators, room assignments, and ensuring class connections work properly. Collect and maintain records each semester including course syllabi, faculty course evaluations, faculty office hours and course textbook information. Maintain database for adjunct faculty including contact information and course clearances. Provide support for tutoring questions; needs and arranges for in-person tutoring. Oversees testing center including scheduling student appointments; working with faculty on proctoring needs; and arranges testing to support academic program needs such as nursing. Provides occasional support for cashering functions for the campus. Responsible for hiring, scheduling and supervising student employees for distance education support and IT Help Desk. Provides administrative support for IT including serving as initial point of contact for technology issues and triage. Assists with ordering and managing IT supplies and creates IT work orders. Events, Grants and Special Projects :
Coordinate project-based work and provide administrative and logistical support for special events, grants, programs and/or conferences. Serve on planning committees for events. Provides administrative support for external grant funding; tracking progress; regular reports and updates.
Budgetary and Financial Support:
Place orders, facilitate travel and logistical arrangements, create expense reports, enter service agreements, and invoice payment requests via university financial systems while adhering to university policies and procedures. Process, maintain, track, and reconcile financial transactions including faculty professional development, awards and grants, events, and conferences.

General Description:
Supports the general administrative functions of a wide variety of academic or administrative units including answering phones, greeting/referring/assisting visitors, customers, staff, or others, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, analyzing data including budgetary expenditures, and providing high level administrative assistance to executives.
Job Responsibilities:
May supervise or oversee the work of Technical & Administrative Support staff and/or student employees.
Resolves complex and unique problems that require an ability to interpret established policies and procedures.
Oversees department unit administrative processes.
Coordinates complex processes and initiatives such as grant proposals, contracts /or complex academic processes such as tenure case approvals, faculty searches, complicated course scheduling or sensitive graduate application processes.
Plans and implements projects, special events, and/or programs that require a high level of coordination with multiple constituents and departments.
Composes and edits internal and external correspondence and documents, including such things as manuscript submissions for scientific journals.
Manages academic courses and textbook information. Plans and maintains website as well as other department publications.
Prepares and monitors internal budget and other financial documents for a departmental work unit. Recommends purchases. Reviews and follows up on discrepancies in standard expenditures. Minimum Qualifications: Knowledge of administrative practices, policies, procedures, office equipment, and computer software typically obtained by a high school degree or GED or equivalent and a minimum of 3 years related experience.
An equivalent combination of education, training, and experience is acceptable.
Specific knowledge, certifications, and licensure will apply at the position level. Preferred Qualifications: Associate's degree, or vocational or technical school degree in office management, accounting or related field
