About the Role
We are seeking an Administrative Executive Assistant to provide comprehensive support to our Senior Director of Customer Risk and Compliance Operations and two additional Directors. This role is crucial for someone who thrives in a fast-paced, ever-evolving environment and is a master of multitasking and maintaining professionalism at all levels. Positioned in our Salt Lake City office, you will play a key role not only in direct support functions but also as an integral part of the administrative team aimed at bolstering our Global Customer Experience efforts.
Key Responsibilities
Schedule Management: Manage extensive calendars for senior management, including scheduling of internal and external meetings across various time zones and locations.
Travel Coordination: Arrange detailed travel plans including international and domestic flights, accommodations, and itineraries.
Financial Administration: Handle processes such as the issuance and processing of purchase orders and invoices.
Event Planning: Take charge of planning and coordinating team events and off-sites.
Communication: Act as a liaison between internal and external stakeholders, ensuring seamless communication while upholding the utmost professionalism.
Administrative Support: Maintain crucial administrative systems including email lists and organizational charts; assist in preparing presentation materials; manage agendas and record minutes for staff meetings.
Project Management: Engage in special projects with a focus on supporting the team's goals and the broader company objectives.
Information Management: Compile briefing materials and synthesize information into executive summaries that highlight key insights.
What You Will Bring
Experience: At least 5 years of experience as an Executive Assistant within a technology-focused organization, supporting Director-level or higher positions.
Proactivity: A knack for taking initiative and a proactive approach to problem-solving and project management.
Communication Skills: Exceptional verbal and written communication abilities.
Organizational Skills: Outstanding organizational and analytical capabilities combined with a creative mindset to overcome challenges.
