MINIMUM QUALIFICATIONS:
Three years of experience in which clerical work was a major duty.
SUBSTITUTIONS:
Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required experience on the basis of six months of training for six months of experience for a maximum of one year of the required experience.
Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for a maximum of one year of the required experience.
College training will substitute for the required experience on the basis of 15 semester hours for six months of experience.
NOTE: 
Business or technical school training with less than completion will only be credited in six month increments. Similarly, college training will only be credited in 15 semester hour increments.
NOTE: Any college hours or degree must be from an accredited college or university.
Function of Work:
To perform complex, often specialized, paraprofessional duties that require independent judgment to accomplish in support of the staff members and/or operations of an organizational unit or program.
Work requires individual discretion in the application of policies and procedures. Duties increase in scope and complexity, and consist mainly of departmental-program duties.
Level of Work:
Advanced.
Supervision Received:
General from higher-level clerical and/or supervisory personnel.
Supervision Exercised:
May supervise 1-2 lower-level personnel.
Location of Work:
May be used by all state agencies.
Job Distinctions:
Differs from Administrative Coordinator 3 by the presence of paraprofessional duties that involve a higher degree of specialization, complexity, and/or independent judgment.
Differs from Administrative Program Specialist--A by the absence of professional-level duties that involve a variety of administrative functions or management of a departmental or statewide program.Serves as liaison between maintenance shop and district office. Communicates with all vendors; orders all parts, fuel and material required for daily operations; completes all purchase orders; reviews annual usage hours on all equipment for accuracy and monitoring. Submits invoices to district's Administrative Program Specialist for approval and processing.
Responsible for the districts following programs:
-Purchase Order system for Maintenance Shop
-Waste Oil Program
-Tire Program
-Tool Program
-Assist with the Annual Fire Extinguisher Program
- Coordinates with Levee Operations Superintendent to purchase chemicals, stays up to date on state contract vendors.
Prepares monthly reports for the programs and submits to the district's Administrative Program Specialist for review.
Communicates with the district headquarters' and shop foreman to determine each cost per equipment breakdown.
Follows up on deliveries and verifies the accuracy of the deliveries received.
Maintains files on each piece of equipment and keeps a list of outstanding reports that are sent in on a monthly basis for each piece of equipment owned by the district.
Schedules new employees to take the general knowledge and right-of-way pesticide test.
Registers employees for annual renewal of license to spray pesticide.
Processes credit applications for new vendors, ensuring that tax-exempt letters are sent to each new vendor.
Processes cash deposits for Belle River Boat Landing and maintains records of revenues collected on a monthly basis.
Schedules events and coordinates with Levee Operations Superintendent.
Maintains records of all daily and annual permit applications for Belle River Boat Landing, Processes monthly bills for the district.
Prepares and makes recommendations for fiscal year Maintenance Shop operating budget.
Assists the Executive Director in preparing language and correspondence to US senators and Congressmen along with State Senators and Representatives.
Schedules appointments for Director and Commissioners to meet with various State and Federal Officials.
Prepares monthly reports for fuel software and submits to Administrative Program Specialist for review ,
Assists office personnel with any other duties.
