Full job description The Department of Psychological and Brain Sciences is seeking a Graduate Program Coordinator (Academic/Clinical Program Management Associate) to provide primary support for all graduate programs within the department. The Graduate Program Coordinator will play a pivotal role in shaping the academic experience of the department's graduate students. Responsibilities will include overseeing program logistics, supporting student success, and fostering community engagement.
This position offers flexibility with a combination of on-campus and remote work. Remote work must be completed within the state of Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

Key Responsibilities Recruit prospective students at fairs and events with the Directors of Graduate Studies, Director of Undergraduate Studies, and academic advisors. Monitor course enrollments and assist with course scheduling; coordinate and monitor curricular activities, providing administrative and program management support as needed. Collaborate closely with the Director of Graduate Studies and Director of Undergraduate Studies, notifying them of upcoming deadlines, scheduling meetings, and preparing correspondence to current and prospective students. Process HR appointments for graduate students and track teaching assistant and research assistant salaries and budgets, including consulting with the departmental administrator and accountant regarding the graduate assistant budget. Provide functional and administrative supervision to student employees, temporary staff, etc., as needed. Plan, organize, and advertise the department's annual public events, including ordering food and sending correspondence announcing such events. Liaise with other units on campus, including the Graduate College, Student Disability Services, Office of International Student and Scholar Services, and Human Resources as appropriate. Education Required Bachelor's degree, ideally in psychology or a related field; or equivalent combination of education and experience. Required Qualifications Six months to one year of related administrative experience supporting the daily operations of an office or program, including experience planning and coordinating events and serving as a liaison with other offices. Demonstrated excellent written and verbal communication skills; ability to effectively and accurately transmit, receive, and interpret ideas and information through appropriate communication channels. Working proficiency in the use of computer software applications, including word processing, spreadsheets, web content management, and database software. Demonstrated knowledge of effective strategies for working with faculty, staff, and students from a variety of backgrounds and perspectives. Ability to occasionally assist with meetings and events outside of normal working hours. Desired Qualifications Experience with graduate student program recruitment, admission, enrollment, and orientation is highly desirable. Demonstrated ability to adjust and develop oneself to prepare for new or changing assignments, processes, or priorities as organizational needs dictate. Experience arranging travel, coordinating schedules for multiple individuals, and organizing catering. Working knowledge and proficiency with social media platforms. Knowledge of University of Iowa policies, procedures, systems, and regulations, including procurement card purchasing policies and experience with ProTrav travel requests.
