Wm. Farmer & Sons, a vibrant Inn, Restaurant & Bar in historic Hudson, NY, seeks an eager individual to join our multidimensional operations team. From our meticulously renovated property to our farm-to-table restaurant, we offer a dynamic work environment.
The Operations Coordinator will oversee the backend functions of individual company departments and consistently provide support and guidance to the departmental team leaders. They will continuously work in partnership with and support our leadership team to ensure smooth daily business functions in all departments. They will work to enhance operational procedures, systems, and principles in the areas of information flow and management, business processes, enhance management reporting, and look for opportunities to both streamline and expand systems. The Operations Coordinator reports directly to the Ownership Partners.
Knowledge, Basic Skills and Abilities:
Possess strong skills in organization and efficiency - PMP (Project Management Professional) certification encouraged but not required Possess strong interpersonal skills to effectively communicate with team leaders, coworkers, and the general public Excellent verbal communication skills Possess self-motivational skills and hands-on management approach Possess impeccable service standards and attention to detail Adept in Microsoft Word, Excel, Google Calendar, Quickbooks, Hot Schedules and Toast Point of Sale (POS) system Ability to work a flexible schedule to include evening and weekend assignments as needed Essential Duties and Responsibilities:
Act as an ambassador for the company both on and off-site to promote a positive and beneficial atmosphere at all times Analyze and improve organizational process and workflow, employees and space Orientate and fully manage the on-boarding of all new employees Organize and manage the Master Company Calendar; facilitating open channels for all team members to naturally flow individual calendar appointments to the Master Calendar Responsible for integrating the monthly and annual facility maintenance schedules into Master Calendar Schedule and engage in regular and ongoing progress and triage meetings with Ownership Partners Maintain solid customer relations and aid in resolving issues with guests in a respectful and responsible manner Oversee customer review management and sign off on appropriate responses Systemize and aid in the management of the seasonal opening/closing of outdoor spaces Coordinate with hotel team and collectively manage the ongoing cleanliness of outdoor buildings and spaces Coordinate with hotel team to maintain general awareness of daily hotel occupancy and special needs of hotel guests Coordinate with the house event manager to arrange buyouts, sponsored parties, and special events Team Leadership Responsibilities:
Promote and facilitate a positive work culture with good staff morale Organize and lead weekly staff meetings with concrete agendas to include constructive and educational conversations Work with team leaders to ensure customer-service standards are met and team sights are always laser focused on identifying areas for improvement Communicate with team leaders to identify customer issues and devise ways of improving the customer experience, including resolving problems and complaints Work closely with team leaders to set and/or implement policies, procedures, and systems and to follow through with implementation Work hand in hand with team leaders to meet or exceed seasonal operations labor budget expectations Work closely with the team leaders to ensure they are performing analysis of our inventory and we are utilizing our inventory effectively, purchasing correctly and maintaining solid inventory data Accounting Responsibilities:
Update and maintain the system for generating purchase orders as well as receiving and entering all company invoices Work in conjunction with company bookkeeper and accounting to manage the financial systems such as budget, payroll and purchasing Work with financial team to review current overhead costs to determine where the company can save, how the business can be run more efficiently, suggest changes, and follow through with the implementation of said changes Support Management Team in developing initiatives to build sales, profitability, and guest counts Facilitate monthly meetings with Upper Management that include ideas for increasing sales and ideas for cutting costs. Maintain the reporting and progress of these initiatives. A note regarding salary - This position has an hourly starting rate ($30-$40/hr, commensurate with experience) moving to Full Time and salaried position after initial onboarding.
