We're seeking an Office Manager to join our expanding team at our U.S. Operations HQ Center in Riviera Beach, FL. As a member of our Global People team, you'll play a vital role in supporting the day-to-day operations and well-being of our on-site and remote employees across two locations, including our office in Austin, TX. The ideal candidate will possess exceptional interpersonal skills and a dedication to employee-focused office management. In this role, you'll be instrumental in fostering a welcoming and supportive company culture, ensuring a positive and safe office environment for both locations. Responsibilities include overseeing general administrative functions, supporting People Operations, Operations, IT, and Finance teams, and serving as the primary point of contact for internal and external partners, service vendors, and suppliers. Responsibilities:
Cultivate and nurture a positive, welcoming, and employee-centric company culture Liaise with onsite, Austin-based, remote, and globally distributed teams to offer essential support and address inquiries Execute receptionist responsibilities, including welcoming visitors and managing outbound and inbound mail and deliveries Manage day-to-day office operations, including supply orders, vendor relationships, canteen purchases, and the maintenance of office and kitchen equipment to uphold workspace orderliness Perform various administrative duties, including document preparation, scheduling, and data entry Facilitate internal communications by disseminating company-wide announcements and updates Assist HR with employment-related activities, including hiring, onboarding, and offboarding processes Assist with travel arrangements and logistical needs for traveling employees when necessary Collaborate on organizing enjoyable events such as regular happy hours and team and company-wide gatherings Supervise building access and security systems, ensuring proper management of access for both employees and visitors as needed Support Finance team processes, including budgeting, invoice processing, and expense reconciliations Plan and coordinate facility maintenance and manage the company vehicle fleet Collaborate on minor office renovation and space planning initiatives with internal and external stakeholders Assist in enforcing office policies and procedures Fulfill any additional duties as assigned REQUIREMENTS A minimum of an Associate degree in office administration or a related field is a must; a Bachelor's degree in Business Administration, Management, or a related field is preferred 2-4 years of administrative and office management experience is required Experience in finding and maintaining business relationships with external vendors Experience working in a global start-up environment is a big plus Ability to understand and apply company policies and ensure adherence Exceptional interpersonal skills Excellent verbal and written communication skills with the ability to convey information clearly and concisely Excellent organizational and time management skills, and ability to multi-task and prioritize work Experience working with G-Suite and Microsoft Office Must have exceptional attention to detail Should demonstrate self-motivation and a proactive approach to achieving desired outcomes. Work hours: 8:00 am-5:00 pm, 5 days a week from the office in Riviera Beach, FL Physical Requirements: Prolonged periods of sitting at a desk and working on a computer Must be able to lift up to 15 pounds at times What is in it for you?
