As the Office & Facilities Coordinator you will work closely to support all regional facilities activities. You will serve as the first point of contact with both our internal and external customers. Also, you'll work to resolve and provide services to the operations needs of customers and all tenants in all our owned properties.
What You'll Do: • Respond to and resolve customer service requests in a prompt, efficient and courteous manner for external customers, departmental staff, and others always.
• Coordinate contract workflow including intake and initial review processing through company's contract management software.
• Maintain Access Control and CCTV system.
• Responsible for first level review of department's accounts payable, resolve potential discrepancies with vendors/contractors, coding and submittal of verified invoices to SAP for the Facilities Manager's approval and categorically filing approved invoices for retention and expense management purposes.
• Manage and reconcile monthly company credit card transactions according to the company's policy.
• Responsible for setting up, maintaining, and organizing department's centralized files.
• Assist security when handling trouble and customer service situations.
• Handle phone requests, dispatch maintenance teams, cleaning people as needed.
• Sort and distribute mail.
• Responsible for the sourcing and procurement of building and janitorial supplies according to each location's services.
• Assist with day-to-day Computer Aided Facility Management (CAFM) software application for regional offices.
• Assist in the production of standardized forms and policies to assist the department in delivering and maintaining of its services.
• Route work orders and clarify questions when necessary. Assign / Route work orders to facility teams.
What it takes to Join our team: High school diploma or equivalent required plus 4 years administrative experience preferred. Must have strong personal computer skills in a Windows environment especially Microsoft 365 standard applications. Must have strong organization and minute taking skills. Must be able to maintain confidentiality. Must have strong interpersonal skills and ability to work in a team environment. Keyboard skills of at least 50 NWPM. Strong customer service and public relations skills are necessary. Oral and written communication skills as appropriate to this position. Reasonably regular and predictable attendance.
