Job Summary This position supports the faculty and staff of the academic unit that combined to form the Department of Creative Arts programs by developing administrative procedures to help them achieve their mission of providing excellent training creative arts to our undergraduate and graduate majors and to provide clerical assistance to the Department's Conkling Gallery. This position is to contribute to the general education of students from across the University; to promote research activities of faculty and students to promote creative art among the general public. This includes providing the necessary office and administrative support by responding orally and in writing to a wide range of technical questions and reviewing department mail to independently research and answer. The position also makes budget recommendations to the Chair, monitors expenditures for the Department, and provides work direction to student workers. This position helps students with their Degree Audit Report and scheduling of classes as needed. The Department offers multiple graduate and undergraduate programs, as well as minors and certificates. This position assists students enrolling in courses for all programs, majors, and minors. This position also coordinates and works with other staff on shared projects. Therefore, a working knowledge of university and departmental procedures and policies and sound management techniques is essential.
Qualifications Minimum Qualifications Ability to communicate in a variety of formats to gather and relay information with tact and diplomacy. Skill in basic accounting procedures sufficient to complete forms and documents that comply with Generally Accepted Accounting Principles (GAAP) standards and maintain accurate and complete financial records. Skill in analyzing, interpreting, reconciling, and preparing financial information, records, and reports; identify errors; and recommend solutions to procedural or other fiscal problems. Knowledge of word processing sufficient to use software to create, format, edit, print, and save a variety of documents, including but not limited to, spreadsheets, tables, charts, graphs, letters, memos, reports, meeting minutes, etc Knowledge of document and/or records management systems, such as Minnesota State Student Record System, sufficient to store, categorize, and retrieve electronic files Ability to Type/Keyboard a variety of documents accurately at 40 wpm with 4 or fewer errors. Ability to develop, modify, and evaluate/improve administrative and program procedures. Preferred Qualifications Ability to embrace changes in technology, campus resources and personnel, and the adjustment of office priorities and responsibilities and integrate changes into current procedures and operations. Demonstrated ability to take necessary actions in trouble-shooting problems and refer to the appropriate party. Experience with university systems relating to budgets, course management, faculty workloads, and academic records. Ability to track process purchases and manage budgets and accounts. Skill in establishing and maintaining complex record systems based on program knowledge. Additional Requirements Work safely at all times, which includes but is not limited to, participating in and completing all required safety trainings, as well as performing all job tasks in accordance with Minnesota State University, Mankato policies and procedures utilizing appropriate tools, equipment and personal protective equipment.
