• Conduct legal research utilizing a variety of legal research tools as well as public information databases and other resources to research case- or program- specific legal matters. Search for, assemble, and summarize pertinent information from various sources (e.g., files and documents in the office and from outside sources, manual logs, software programs, and/or the Internet such as Westlaw and other Internet resources) based on general or specific instructions as to the nature of the information wanted and its purpose or for the purpose of preparing recurring statistical reports reflecting case load, and other managerial reports for legal functions. Safeguard information, documents, and files from loss or unauthorized disclosure. Properly dispose of sensitive material. Secure reference material from the library (online or physical) and copy/distribute pertinent portions of such material as requested. Re-file library materials as needed. Electronically serve and/or file legal documents, including in the federal ECF system and in state court filing systems, where applicable. Receive phone calls; direct all phone inquiries and messages to the appropriate person; maintain log of messages taken; greet visitors to the office. Receive, open, time stamp, review, and distribute by function all incoming mail and faxes. Review mail and determine if it should be brought to immediate attention of the supervisor and what should be given to other members of the staff. Prepare and assemble documents, including necessary transmittal forms and envelopes, in accepted office format pursuant to court rules for timely mailing, submission to courts, boards, and commissions (United States District Court, GSBCA, MSPB, and EEOC) and service on others as appropriate. Establish and maintain a variety of files and documents, correspondence, and other material; cross-reference files when necessary. Search for, assemble, and summarize pertinent information from various sources (e.g., files and documents in the office and from outside sources, manual logs, software programs, and/or the Internet) based on general or specific instructions as to the nature of the information wanted and its purpose or for the purpose of preparing recurring statistical reports reflecting case load, and other managerial reports for legal functions. Assist in performing minor maintenance on office equipment and requesting services for its repair and maintenance. Analyze and evaluate matters arising from various legislative acts and regulations Assist attorneys in the preparation of materials for bid protests and litigation matters. Examine, prepare, and process a variety of technical legal documents that are characteristically voluminous and complex in format. Review incoming material and independently determine the need to assemble and prepare a variety of legal documents, e.g., pleadings, reports, affidavits, memoranda, and other legal correspondence. Documents, including necessary transmittal forms and envelopes, must be in accepted office format pursuant to court rules for timely mailing, submission to courts, boards, and commissions (United States District Court, GSBCA, MSPB, and EEOC) and service on others as appropriate. File Office of General Counsel - Mid-Atlantic Division, Justice Department, and U.S. Attorney court pleadings as necessary, and follows steps to document that they have been filed or lodged with the appropriate recipient. Review outgoing correspondence and documents to ensure proper signature and conformance to style and format requirements and procedural instructions, and necessary attachments and enclosures. Implement GSA directives concerning signature and review authorities. Keep abreast of current clerical and administrative directives, policies and procedures, in order to assist attorneys on requests regarding matters relating to their work assignments Administrative Duties Receive visitors and phone calls. Ascertain nature of requests and directs callers to appropriate staff, or personally provide the information desired when routine or procedural matters of the office are involved. Control visitor access and implements security procedures. Receive, open, time stamp, review, and distribute by function all incoming mail and faxes. Establish and maintain a variety of files and documents, correspondence, and other material; cross-reference files when necessary. Supplement files when completely new material must be added, and revises files for better arrangement. Assist with the maintenance of the case files and legal subject files. Provide support such as printing, photocopying, shredding, and replacing of toner and paper in office equipment. Keep assigned attorneys' calendar, which includes scheduling appointments; maintaining a daily suspense list of commitments; and reminding attorneys of scheduled conferences, appointments, conference calls, deadlines, and meetings to ensure that commitments are met. Arrange conference calls and meetings, including setting up meeting rooms and notifying all participants. Advise individuals when appointments must be rescheduled by arranging mutually convenient times for new appointments. Schedule and make all necessary travel and hotel arrangements for the Office of General Counsel - Mid-Atlantic Region staff as well as for individuals outside the office. Make cost comparisons, secure pre-travel approval and advances. Input travel vouchers into FedDesk. Serve as timekeeper and inputs necessary time and leave information into FedDesk. Access the Pegasys financial system and review whether the tort payments are processed. Perform other administrative duties as assigned. Skills Required: Be familiar with local rules and procedures for states within the Mid-Atlantic Region, and federal rules and procedures, regarding filing legal documents. Advanced word processing software skills. Advanced knowledge of Google Suite (G Suite) including Gmail, Docs, Sheets, Slides, and Drive, Adobe Acrobat, and Desktop Publisher. Need to be able to create, copy, edit, make insertions and deletions, and move text throughout a single document and from one electronic file to another. Store, retrieve and print a variety of documents to include those requiring complex formats such as charts, special symbols, table of authorities and other types of tables within text. Excellent written communication skills with attention to detail (ie. Grammar, punctuation, spelling, pagination, etc.) Must be a self-starter that can take initiative and tackle projects with limited supervision or direction Other Required Skills: Reporting Skill, Managing Processes, Organization, Analyzing Information , Professionalism, Problem Solving, Verbal Communication.
