Position Summary: The Knowledge Management Department at Ogletree Deakins has an exciting opportunity for an experienced Project Coordinator to join the team. This position supports key strategic initiatives. The Project Coordinator will assist the Program & Delivery Senior Manager and the Manager(s) in the coordination of project activities. This position will also support the KM team's day-to-day operations. The Coordinator will track and update project status reports, project expenses and assist in the development of the annual portfolio budget and related activities. The Coordinator will also provide support in the way of coordinating and attending meetings, developing presentations, providing follow-up, maintaining and updating documents and standard operating procedures, and other key functions as requested. As development opportunities, the Coordinator may be assigned projects to manage.
Essential Functions:• Support projects by scheduling meetings with project teams, assisting in preparing materials for project meetings and status reporting, creating, and maintaining project plans and distributing as required, participating in user acceptance testing, and other functions related to project management.
• Research potential vendors based on requirements.
• Submit approved invoices and expenses via expense and accounting software using proper project and account coding to ensure that projects stay within budget.
• Input and maintain the team's contracts using contract management software.
• Coordinate training for the team including organizing, updating, and maintaining training resources.
• Perform routine data entry and updating of content. This includes, but is not limited to administrative calendars, lists, spreadsheets, and databases.
• Coordinate meetings (both internal and external).
• Coordinate and order materials for department events and projects.
• Submit expenses for KM team members via expense and accounting software using proper account coding.
• Reconcile firm credit cards for KM leaders.
• Manage software requests.
• Assist in travel planning.
• Maintain staffing list and org. chart.
• Add team members to relevant distribution lists and Teams sites.
• Create surveys.
Requirements:• Bachelor's degree or Associate's degree with 1-2 years of experience in coordination and administration of operational projects
• Proven ability to create accurate, timely and visually appealing reports
• Proficient in all Microsoft applications, including but not limited to Word, Excel, PowerPoint, Outlook, Teams, and Document Management Systems
• Proficiency with Smartsheet and other Project Management applications a plus
• Exceptional computer skills with the ability to learn new software applications quickly
• Excellent customer service skills with an unwavering "can-do" attitude
• Excellent interpersonal skills and the ability to communicate professionally and effectively at all levels, both internally and externally
• Ability to manage time effectively to meet critical deadlines
• Ability to remain calm under pressure
• Ability to work both independently and collaboratively as part of a cross-functional team
• Strong verbal and written communication skills
• Ability to interpret and follow through to completion, a variety of instructions
• Ability to self-start and take the appropriate initiative daily
• Ability to pay close attention to detail, occasionally for prolonged periods of time and under restrictive deadlines, and complete assignments logically and accurately
