Kimley-Horn, one of FORTUNE Magazine's 100 Best Companies to Work For, is looking for a Human Resources Assistant (HRA) for our Carolinas (CL) region. This is an office-based role in our Charlotte, NC office. In this critical role, the HRA will support the CL HR team by focusing on the day-to- day transactional and administrative responsibilities, as well as related functions, assisting with on-boarding and off-boarding, recruitment, and other programs.
Provide exceptional support to all internal partners and clients. Support the onboarding process for new hires, including communication, initiating pre-employment paperwork, background checks, and coordination of drug screens. Partner with HR Coordinator(s)/Partner(s) on adjudication process pending results of pre-employment screenings. Manage I-9 process for new hires, including rectifying tentative non-confirmation results and employment authorization reverifications. Enter new hire data into HRIS system in accordance with onboarding guidelines and best practices. Schedule and support new hire orientations; assign any required new hire trainings. Support offboarding process and related activities. Manage and maintain accurate digital electronic employee files via HRIS document manager. Support internal auditing efforts for accuracy including, but not limited to, I-9 records and employee information in HRIS system. Ensure federal and state regulation compliance for labor law posters. Schedule meetings, interviews, and HR events. Collaborate with HR team to schedule and support training sessions within the region. Manage calendars for the HR team as needed. Assist with timely completion of expense reports as needed. Analyze data and provide recommendations to improve processes, employee engagement, and policy alignment across the region. May assist with job postings, career fair coordination, interview scheduling, travel arrangements and the processing of associated travel expenses. Support special projects that have impact across the region and organization. Perform other administrative duties as assigned. Bachelors Degree in Human Resources or related field. At least 2 years of administrative experience. Prior HR experinece preferred.  Proficiency in Outlook, MS Teams, Word, Excel, PowerPoint; ability to learn HRIS and recruiting systems. At least one year of human resources (or adjacent) support experience. Previous experience with UltiPro UKG, iCIMS, and Adobe suite. Previous experience supporting professional services/consulting firm. Ability to maintain confidential information and demonstrate a high level of discretion and judgement. Ability to manage multiple tasks concurrently, prioritize, and maintain composure in a high-paced office environment. Detail-oriented with auditing, file management, data entry, and employee requests. Excellent organization and follow-through; demonstrate ownership and initiative with task completion. Ability to maintain positive working relationships. Effective communication skills, both verbal and written, with the ability to communicate with a broad range of employees, allowing for flexible and appropriate communication with various levels of the organization. Flexible, including the ability to execute tactically and collaborate across many teams, levels, and situations. Ability and desire to work collaboratively with team members within the region, as well as across the organization. At Kimley-Horn, we do things differently.
